Job description

Organizational Overview

The California Apartment Association (CAA) is the nation’s largest statewide trade association serving the rental housing industry. CAA’s diverse membership includes thousands of individuals and companies who own/manage rental housing and apartments in California. CAA is committed to helping its members provide quality rental housing in California. The association's focus is on advocacy, education and compliance for it's members.

Position Summary

The Director of Forms and Compliance Products manages CAA’s portfolio of rental forms and compliance resources. The Director develops a thorough understanding of the products CAA offers, helps keep those products organized and current, and serves as the primary internal resource for questions about product availability.

The Director works closely with Legal Affairs attorneys, who are responsible for legal analysis and substantive updates, and with CAA’s Member Services and Marketing teams. This is a director-level individual-contributor position requiring strong project management, attention to detail, initiative, and the ability to learn a complex body of products.

This is a full-time, remote position.

Essential Duties and Responsibilities

Forms and Compliance Resource Management

  • Develop and maintain detailed knowledge of CAA’s forms and compliance resources, including what products are available, the situations they address, and how they relate to one another. This includes helping identify the range of compliance resources affected by new legislation and related revisions.
  • Serve as the primary internal resource for questions about whether CAA offers a form or compliance resource addressing a particular situation, when a particular resource is appropriately used, and logging and tracking update suggestions submitted by Legal Affairs attorneys to ensure they’re incorporated into annual review process.
  • Maintain an organized inventory of CAA’s forms and compliance resources, keep CAA’s content database accurate and up to date, and manage the lifecycle of compliance products.
  • Identify inconsistencies, duplication, outdated references, broken links, and other issues affecting CAA’s products.

Product Review and Updates

  • Periodically review forms and compliance resources to identify products that may be outdated, inconsistent, unclear, or in need of attorney review.
  • Flag potential legal or substantive issues, including through use of AI and online research tools, for the appropriate attorney and track them through review and completion.
  • Review proposed updates for nonlegal issues such as clarity, formatting, citations, cross-references, dates, links, and consistency with related products.
  • Coordinate with appropriate staff to ensure that attorney-approved updates are accurately published across CAA’s website, forms platform, and other distribution channels.

Project Management

  • Manage the administrative and operational aspects of CAA’s annual year-end forms and compliance update process and other significant update projects.
  • Prepare agendas, maintain project schedules and task lists, coordinate meetings, document decisions and assignments, and monitor progress toward completion.
  • Keep attorneys and other participating staff informed about deadlines, outstanding assignments, and issues that may delay completion.
  • Develop, document, and recommend improvements to CAA’s product-review and update processes, including standard operating procedures for recurring workflows (e.g., annual updates, monthly reviews, content publishing) to ensure consistency across contributors and systems.

Product Development and Promotion

  • Review product usage, staff and member feedback, and recurring questions to identify possible gaps in CAA’s product offerings and opportunities to improve existing products.
  • Recommend potential new products, updates, consolidation, or reorganization for consideration by department leadership.
  • Work with marketing staff to accurately describe and promote CAA’s forms and compliance resources.
  • Provide marketing staff and other departments with the information needed to explain what CAA’s products cover, who they are intended for, and how they can be accessed

Staff and Member Support

  • Work closely with Legal Affairs, Member Services, and other departments whose work involves CAA’s forms and compliance resources.
  • Help orient staff on the products CAA offers and how to locate the appropriate resource.
  • Occasionally assist members in locating available CAA products, while referring legal or fact-specific questions to the appropriate attorney or member-service channel.
  • Create and maintain internal instructions, change logs, and other tools that help staff and vendors work with CAA’s forms and compliance resources.
  • Perform other related duties and participate in department projects as assigned by the Executive Vice President, Legal Affairs.
Qualifications

Required-

  • Experience in project management, content management, database management, publishing, product administration, or a comparable field.
  • Demonstrated ability to organize and manage detail-intensive projects involving multiple contributors and deadlines.
  • Strong organizational skills and attention to detail, including the ability to track assignments and follow projects through completion.
  • Strong written and verbal communication skills and the ability to work effectively with attorneys, member-facing staff, marketing professionals, and other colleagues.
  • Ability to learn the purpose and terminology of a substantial portfolio of rental-housing forms and compliance resources.
  • Sound judgment about when a matter can be addressed administratively and when it should be referred to an attorney.
  • Ability to work independently, take ownership of day-to-day responsibilities, and recommend improvements.

Preferred-

  • Experience working with a content database, content-management system, document repository, or similar platform.
  • Experience managing forms, publications, compliance materials, educational resources, membership products, or other regulated or frequently updated content.
  • Experience in a legal, trade-association, professional-services, publishing, housing, or membership-based environment.
  • Bachelor’s degree or an equivalent combination of education and relevant experience.
Working Relationships

The Director reports to the Executive Vice President, Legal Affairs, and works closely with CAA’s Legal Affairs attorneys. The position also collaborates regularly with Member Services, Education, marketing, technology, and other departments and vendors involved in delivering, supporting, or promoting CAA products. The Director does not supervise employees but is expected to coordinate projects and work across departments.

Success in This Role

A successful Director will:

  • Become the person CAA staff rely on for a clear and accurate understanding of the forms and compliance resources CAA offers.
  • Create dependable systems that make the status, ownership, and review history of each product readily available.
  • Surface potential problems and product opportunities early and route them efficiently to the appropriate decision-maker.
  • Keep complex update projects organized, visible, and moving toward completion.
  • Reduce the administrative burden on Legal Affairs attorneys so they can focus more of their time on legal analysis and substantive content development.
  • Improve the accessibility, usefulness, and visibility of CAA’s forms and compliance products for members and staff.
Compensation and Benefits

California Apartment Association offers a competitive salary that is commensurate with experience. Additional benefits include health insurance, 401(k) with employer contribution.

CAA's headquarters is in Sacramento, with staff throughout California. This position can be based in our Sacramento office or be remote, though a candidate in the greater Sacramento region is preferred.
