Job summary

The University of Southern Maine is seeking a student-centered Director of Academic Administration and Student Services to manage day-to-day operations of the College Dean’s Office on the Portland campus. You will collaborate with the Dean, departments, faculty, and student support teams to streamline processes and address student-related matters.

This role requires independent judgment, strong communication, and the ability to balance competing priorities while supporting teaching and learning

Qualifications

• Bachelor’s degree required.
• 3–5 years of administrative or operational experience in a college, university, or similar complex setting.
• Experience planning, analyzing, coordinating, and managing administrative operations.

Responsibilities

• Oversee administrative operations, policies, procedures, course scheduling, and catalog updates.
• Coordinate curriculum proposals, reviews, special projects, and new initiatives.
• Manage Polymath Pathways coordination including scheduling and student-support needs.
• Oversee graduation certifications, academic actions, student appeals, and Dean’s Office reviews.
• Approve standardized forms for programs, grades changes, and withdrawals.
• Respond to student inquiries and collaborate with advising, registration, and departments.
• Support undeclared students in exploring and declaring majors with the Dean and Associate Deans.
• Compile reports and analyze enrollment data using university systems.
