Job summary

Heartland Whole Health Institute is seeking a detail‑oriented Program Coordinator, Development to support scheduling, budgets, meetings, events, and cross‑functional collaboration across departments. This on‑site role requires discretion with confidential information and strong organizational skills.

You will work with leaders and external partners, maintain Salesforce records, assist with CME/CEU processes, and help ensure timely execution of organizational priorities in a fast‑paced nonprofit

Qualifications

• Bachelor’s degree in business administration, nonprofit management, public administration, operations management, communications, health administration, or a related field.
• 2–4 years of administrative coordination, operations support, or project coordination experience.
• Experience supporting nonprofit, healthcare, higher education, public sector, or similar organizations preferred.
• Strong communication and interpersonal skills with the ability to collaborate across teams.
• Ability to manage competing priorities in a fast-paced environment and exercise sound judgment.

Responsibilities

• Coordinate scheduling and logistics for leaders and assigned functional areas.
• Organize internal and external meetings, events, and guest visits with agendas.
• Coordinate travel logistics for events and activities.
• Accurately record and distribute meeting notes, action items, and decisions.
• Track, monitor, and report on project-related activities and updates.
• Assist with initial budgets and expense reporting; review variances.
• Maintain Salesforce records and documentation; ensure data accuracy.
• Support Board meetings and coordination with shared services (AWE).
• Provide coverage and collaboration across functional areas as needed.
• Represent the organization at events and convenings.
