Job summary

Berkeley Repertory Theatre (Berkeley Rep) seeks a Development Operations Coordinator to manage donor relations, gift processing, and data reporting in Tessitura. You will support annual fund campaigns, generate donor acknowledgments, and help maintain data integrity and reporting dashboards.

The role requires attention to detail and the ability to work across departments. The position is full-time, non-exempt, with a schedule of Monday–Friday, 9am–5:30pm, and occasional evenings/weekends.

Qualifications

  • Two years of professional experience in customer or donor relationship management, data entry, or administrative support.
  • Proficiency with MS Office, including Excel.
  • CRM/database experience (proficiency with Tessitura a plus).
  • Exceptional attention to detail and organizational skills.
  • Ability to work with efficiency and a high level of accuracy.
  • Proven ability to prioritize and manage competing projects and deadlines effectively.

Responsibilities

  • Track donations and donor data using Tessitura CRM with accuracy.
  • Create and deliver donor acknowledgements within 48 hours of gift receipt.
  • Track monthly pledge reminders and recurring payments.
  • Assist with events-related data entry and acknowledgements.
  • Provide ongoing financial reporting and analysis.
  • Prepare reports and dashboards in Tessitura Analytics.
  • Maintain donor and gift data integrity and regular data clean-up.
  • Train staff on Tessitura systems and update operations documentation.
  • Support fundraising activities and donor events.

Work Schedule: Monday - Friday, 9am - 5:30pm, occasional evenings and weekends required


Classification: Annual full-time, non-exempt


Compensation: $27.50 per hour; benefits eligible after 90 days

Position Summary

Berkeley Repertory Theatre (Berkeley Rep) has grown from a storefront stage to an international leader in innovative theatre. Known for its ambition, relevance, and excellence, as well as its adventurous audience, the nonprofit has provided a welcoming home for emerging and established artists since 1968. Over 6 million people have enjoyed more than 500 shaows at Berkeley Rep, including 91 world premieres. Berkeley Rep shows have gone on to win 8 Tony Awards, 9 Obie Awards, 14 Drama Desk Awards, 1 Grammy Award, 1 Pulitzer Prize, and many other honors. In recognition of its place on the national stage, Berkeley Rep received the Tony Award for Outstanding Regional Theatre in 1997. Through its annual seven-play season, together with up to four special event presentations, Berkeley Rep invites audiences to enjoy an eclectic range of theatrical experiences featuring diverse artistic voices, themes, and perspectives.


Essential Duties and Responsibilities

Gift Processing and Acknowledgements:


  • Track donations, including gifts from DAFs, IRAs, stock, and in-kind partners, and patron data using Tessitura customer relationship management (CRM) software with efficiency and accuracy.

  • Create and promptly deliver (within 48 hours of gift receipt) written donor acknowledgements and communications.

  • Track and produce monthly pledge reminder letters and charge ongoing pledge and recurring payments.

  • Assist with special events-related data entry and acknowledgements.


Reporting and Analysis:


  • Provide ongoing financial reporting and analysis.

  • Regularly partner with Finance to perform financial reconciliations.

  • Support the Development department's reporting and analysis needs: generate reports, pull lists for events and mailings, and build reporting dashboards in Tessitura Analytics.

  • Ensure accurate tracking of fundraising appeal results and lead in-depth reporting and analysis for annual fund campaigns.

  • Provide through analysis of past results, identify and pull data for target lead groups for email and direct mail appeals.


Data Management:


  • Ensure efficient fundraising operations using Tessitura CRM software and other tools, including streamlined and accurate gift processing, gift acknowledgment, and donor/funder recognition.

  • Evaluate development data management processes and recommend improvements as needed to streamline efficiency and ensure accuracy.

  • Maintain donor and gift data integrity, including regular data management, duplicate donor record merging, and record clean-up according to Berkeley Rep data standards.


Training and Documentation:


  • Serve as a Tessitura super user, participating in Berkeley Rep's Tessitura User Group, and serve as a Tessitura resource for the Development department; lead Tessitura upgrades testing and training for the Development department.

  • Manage the team's Tessitura \"wish list\" and coordinate with Operations staff and third-party contractors to ensure those needs are met.

  • Train Development staff on most current operational systems, processes, and protocols, particularly in efficient gift processing, reporting, and analytics.

  • Update and maintain development operations documentation.


General Administrative and Event Support:


  • Engage with patrons and donors in person and by email and phone, in a prompt, courteous, and friendly manner.

  • Handle department filing and office supply ordering.

  • Assist with donor research and benefits fulfillment, as needed.

  • Assist with supporting and staffing Berkeley Rep's annual fundraising gala and donor events.

  • Actively participate in workshops and trainings, including company meetings, harassment prevention, bystander intervention, and all other antiracism, equity, diversity, inclusion, and access initiatives.

  • Demonstrate a high degree of coachability and ability to integrate feedback into daily workflows and processes.

  • All other projects and duties, as assigned.


Requirements
