Marin Agricultural Land Trust is seeking a Development Coordinator to support data integrity in BlackBaud RE/NXT, process gifts, and handle event communications. The role balances gift processing with donor relations, leveraging AI tools to improve accuracy and speed while adhering to data standards and privacy.

Qualifications

• AA or Bachelor’s degree with minimum 2 years’ experience in an administrative, database, or similar environment.
• Database experience, preferably in NXT/RE, with an understanding of why clean, consistent data matters; gift processing experience a strong plus.
• Database-minded approach: how each gift, interaction, and event will be captured and coded, following data standards.
• Comfort with AI tools (e.g., Claude) to streamline and check database work, with critical review of AI output.
• Natural problem solver who spots data discrepancies and suggests improvements.
• Critical thinking to connect data, people, and programs and bring insights.
• Detail oriented and able to prioritize and meet deadlines.
• Proficiency in Google Workspace; experience with mass marketing communications and event tools (e.g., Mailchimp).
• Strong interpersonal, service-oriented, and proactive communication skills.
• Collaborative team player capable of handling multiple responsibilities.
• Establishes and maintains cooperative working relations inside and outside MALT.
• Commitment to MALT’s mission and DEI principles.

Responsibilities

• Processes all gifts into NXT/RE with correct coding for funds, campaigns, appeals, and packages.
• Uses AI-assisted workflows to review gift batches, flag errors, duplicates, and patterns.
• Prepares data files for import into NXT/RE and runs imports in coordination with the Data Services Manager.
• Produces timely, personalized acknowledgment letters drawn from database records and records each in NXT/RE.
• Contributes to refining AI-assisted and database workflows for reliability and repeatability.
• Maintains constituent records and updates contact information; processes returned mail.
• Collaborates to ensure data accuracy and timeliness to inform fundraising strategy.
• Supports recurring donor program and donor acquisition via events.
• Enters donor information, actions, and notes into the database.
• Serves as first point of contact for the advancement team via phone and email.
• Performs database tasks including pulling lists and running queries; assists with mailings as needed.
• Manages RSVPs, event lists, waivers, and post-event follow-up in the database.
• Researches event attendees and prepares briefings to aid donor engagement.
