Job summary

Boston Children’s Hospital is seeking a Development Associate in Trust Finance to provide broad administrative support and contribute to fundraising activities. The role maintains calendars, coordinates travel, and assists with donor communications and materials.

The incumbent will help reconcile invoices, manage donor data, and support events for donors and hospital staff. Experience in fundraising and donor relations, plus a relevant degree, is valued.

Qualifications

• Associate’s Degree and 4 years fundraising experience; a bachelor’s may substitute.
• Experience in development, marketing, events or customer service preferred, BCH.

Responsibilities

• Provide general office support, including answering phones and greeting guests.
• Maintain supervisor's meeting calendar and schedule internal/external appointments with donors, doctors, volunteers, trustees, and staff.
• Arrange local, national, and international travel for Trust staff.
• Keep donor database with biographical data, Trust codes, solicitor actions and proposal information.
• Help develop materials for cultivating, soliciting and stewarding donors and prospects.
• Prepare invoices for the department and assist with payment requisitions and resolving discrepancies.
• Organize events including guest lists, invitations, room setup, refreshments and staffing.
• Assist supervisor with special projects and reports.
• Develop proficiency in donor database and run basic reports/queries.
• Coordinate donor visits and participate when appropriate.
• Provide training to other administrative staff as needed.
• Bachelor’s degree may replace the experience requirement; minimum of Associate’s Degree and 4 years fundraising experience.

This Development Associate, Trust Finance will be responsible for:

• Providinggeneral office support including answering phones, greeting and directing guests, and providing other basic administrative help as necessary.


• Maintainingmeeting calendar of supervisor and schedulinginternal and external appointments and meetings with donors, doctors, volunteers, trustees, and hospital staff. Reservingand preparingconference rooms and orderingrefreshments for meetings and donor visits.


• Makinglocal, national, and/or international travel arrangements for Trust staff, and hospital staff as needed.


• Maintainingconstituent information in donor database including biographical information, Trust codes, solicitor actions and proposal information.


• Assistingin developing materials for use in cultivating, soliciting, and stewarding donors and prospects.


• Preparinginvoices for the department including payment requisitions for vendors, employee reimbursements and servingas contact to resolve discrepancies. May reconcile monthly bills with overall budget.


• Organizingevents including: developing and managing invitation lists, attendance, room space, refreshments and staffing the event.


• Assistingsupervisor with special projects and preparation of reports and documents as needed.


• Developing proficiency in donor database, with the ability to run basic reports and queries.


• Organizingdonor visits, and may attend when appropriate.


• May serve as resource and provide training to other administrative staff.


• A minimum of an Associate’s Degree and 4 years of fundraising related work experience. Bachelor’s degree preferred and would replace the experience requirement.


• A minimum of one additional year of development, marketing, events or customer service experience required, preferably at BCH.
