Job description

SimonCRE is seeking a highly organized and detail-oriented Development Associate to join our dynamic team in Scottsdale. This role is pivotal in supporting our retail development projects through the complex phases of entitlement and permitting. The ideal candidate will be a master of organization and communication, capable of managing intricate project details with precision in a fast-paced environment.

You will be the central hub for project information, ensuring that consultant proposals are secured, contracts are processed, and critical deadlines stipulated by tenant leases are meticulously tracked and met. This position is perfect for someone who thrives on creating order, excels at follow-through, and is motivated by contributing to the tangible success of a collaborative team.

Key Responsibilities
  • Initiate outreach to and solicit proposals from a variety of consultants and vendors, including those for environmental, design, and engineering services.
  • Prepare and process vendor contracts and invoices for Project Manager approval.
  • Project Tracking & Documentation
  • Maintain the central project task database, ensuring all information is accurate and up-to-date.
  • Develop and manage tenant-specific project schedules, tracking key dates, deliverables, and Landlord Work Letter (LLWL) milestones.
  • Organize and maintain all project documentation, including contracts, proposals, and permit applications.
  • Assist the Project Manager by understanding and tracking the requirements and timelines of Authority Having Jurisdiction (AHJ) for both entitlement and permitting processes (civil, building, signage, etc.).
  • Prepare and coordinate the submission of permit applications and other critical documents.
  • Team Collaboration & Process Improvement
  • Work closely with the development team to ensure high standards of execution and achieve collective goals.
  • Contribute to the development and refinement of project management systems and workflows to increase efficiency and accuracy.
Qualifications

  • Required Education, Experience & Skills:
  • High school diploma or equivalent.
  • Valid Driver’s License.
  • Exceptional organizational skills, with a proven ability to prioritize multiple projects simultaneously and meet strict deadlines.
  • Excellent communication skills to exchange information with others accurately.
  • A proactive and resourceful problem-solver who is comfortable asking questions and seeking clarity.
  • Proficient with Microsoft Office, including Word and Excel, as well as calendar management and general technology.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Preferred Education, Experience & Skills:
  • 2+ years of experience in an administrative or project coordination role, preferably within real estate, construction, or architecture.
  • Working experience with commercial real estate, including entitlement and permitting processes.
  • Familiarity with reading and interpreting lease agreements.
  • Experience with Mac iOS is a plus.
  • Experience with project management software (e.g., ClickUp, Asana, Monday.com).
