Job summary

Jobtailor is seeking a skilled Project Administrator/PM to connect construction operations with IT, real estate, and corporate teams in a data-center setting. You will coordinate multi-disciplinary requirements, manage process flows, and drive KPI reporting across departments.

You will lead due diligence, track permits, and oversee documentation from contracts to submittals, ensuring accurate archives and naming conventions.

Qualifications

  • Bachelor’s degree required in business, construction, engineering or related field.
  • 4+ years of project administration or program management experience in construction, data centers, or regulated industry.
  • Proficiency with PMIS systems (e.g., Procore), data tracking tools (e.g., MS Project), and blueprint markup apps (e.g., Bluebeam).
  • Experience building process flows and generating KPI dashboards.
  • Strong organizational skills and cross-departmental influence.
  • Proactive problem-solving to address delays and bottlenecks.
  • U.S. work authorization required.
  • Residence in a state where the company maintains employment eligibility.

Responsibilities

  • Serve as central control linking construction operations with internal business units and real estate.
  • Coordinate IT, Network, Security, and Workplace requirements into structural drawings before groundbreaking.
  • Track and enforce design direction across contractor packages and deployments.
  • Facilitate communication between site managers and design engineering for field adjustments.
  • Evaluate layout feasibility for large or non-standard customer designs with Sales Engineers.
  • Lead due diligence including structural, utility, and environmental audits.
  • Prepare executive reports on risk, utility availability, and power timelines.
  • Track permitting workflows and coordinate inputs, signatures, and approvals.
  • Maintain master tracking for Owner-Furnished Equipment and long-lead assets.
  • Lead production status meetings with manufacturers, supply chain, and procurement.
  • Monitor progress, sourcing, testing, shipping, and delivery windows.
  • Aggregate site-ledger data into a corporate portfolio dashboard.
  • Track expenditures, contingencies, and project milestones.
  • Develop KPI reports for schedule, budget, and approvals turnaround.
  • Package and archive As-Builts, BIM and commissioning records.
  • Enforce naming conventions and file metadata guidelines.
  • Optimize cross-functional workflows and dashboards in enterprise systems.
  • Coordinate contracts, change orders, RFIs, and submittals.

Job description

  • Serve as the central point of control linking core construction operations with internal business units, infrastructure verticals, and corporate real estate
  • Coordinate Enterprise IT, Network Engineering, Physical Security, and Global Workplace requirements into structural/MEP drawings before groundbreaking
  • Track, integrate, and enforce design direction across contractor packages and custom customer deployments
  • Facilitate communication between site Construction Managers and Design Engineering when field conditions require design adjustments
  • Evaluate layout and capacity feasibility of large or non-standard custom customer designs with Sales Engineers
  • Lead technical real estate due diligence, including structural, utility, and environmental audits
  • Synthesize technical risk profiles, utility availability, and path-to-power timelines into executive reports
  • Track permitting workflows and coordinate document inputs, signatures, and financial authorizations
  • Maintain the master tracking matrix for Owner-Furnished Equipment and long-lead infrastructure assets
  • Lead production status meetings with equipment manufacturers, supply chain partners, and procurement teams
  • Monitor factory progress, component sourcing, sub-assembly timelines, factory acceptance testing, shipping logistics, and site delivery windows
  • Aggregate site-level financial ledgers and schedules into a corporate-wide portfolio dashboard
  • Track expenditures, contingency usage, cash-flow burn rates, project milestones, schedule dependencies, and floating logic
  • Develop KPI reports for schedule adherence, budget compliance, and document approval turnaround times
  • Package, index, and archive historical construction assets including As-Builts, BIM models, and commissioning records
  • Enforce naming conventions and file metadata guidelines
  • Optimize cross-functional workflows, approval routings, and dashboards in enterprise tracking software
  • Coordinate preparation, legal review, and execution of contracts, change orders, RFIs, and submittals
Requirements
  • Bachelor’s degree in business administration, construction management, engineering, or related field
  • 4+ years of project administration or program management experience in construction, data centers, or a highly regulated industry
  • Proficiency using enterprise construction PMIS systems (e.g., Procore), data tracking tools (e.g., MS Project), and blueprint markup applications (e.g., Bluebeam)
  • Experience building process flows, utilizing digital project management tools, and generating KPI dashboards
  • Exceptional organizational skills with a strong capacity for matrix management and cross-departmental influence
  • Proactive problem-solving abilities to address supply chain delays and process bottlenecks
