Qualifications

Job description

As an administrative assistant, you’ll support faculty and staff at the SCAD School of Film and Acting as they prepare students for exciting careers in film, television, and stage, using resources that rival those of Hollywood studios. At SCAD, the only university with an on-site professional casting office, you’ll play an important role in ensuring our Bees have access to extraordinary opportunities in the multibillion-dollar film and entertainment industry.

To support the department’s efforts, you’ll:

  • Promptly respond to student needs and questions
  • Assist departmental leadership with department- and school-wide initiatives as well as ongoing collaborative projects
  • Manage scheduling for classrooms, extended learning opportunities, and SCADextra workshops; assist with SCAD Day building preparation; and serve as the point of contact for the physical resources department
  • Read and route incoming mail, locate and attach relevant files for departmental leadership, and compose and type routine correspondence
  • Manage a filing system for correspondence and other records

As part of the acting department, you’ll:

  • Manage the departmental leaders’ calendars and schedules
  • Gather information and complete paperwork for all alumni and professional mentors, including itineraries and travel logistics
  • Greet scheduled visitors and direct them to the appropriate area or person
  • Order and maintain supplies and arrange equipment maintenance
  • Support academic services’ university-wide initiatives, maintain display spaces to showcase outstanding student work, and coordinate with physical resources for SCAD Days, signature events, tours, and spring commencement

Additionally, you’ll:

  • Collaborate with housekeeping staff to ensure buildings are ready for students
  • Schedule meetings, prepare agendas, reserve and prepare facilities, and record and transcribe minutes
  • Lead quarterly report submissions from faculty and draft for departmental leader approval
  • Support end-of-quarter departmental documentation, duties, and responsibilities (e.g., send reminders about deadlines for syllabi, faculty comments, and final grade submissions)
  • Coordinate end-of-quarter photo documentation of outstanding student work with the communications team

Candidates should ideally demonstrate:

  • Excellent written and verbal communication skills
  • Strong organizational skills
  • Commitment to professionalism, honesty, and integrity
  • Ability to manage multiple priorities

Minimum qualifications:

  • At least one year of related experience
  • Proficient computer skills, including Microsoft Office software, Banner, or a similar database

Preferred qualifications:

  • Bachelor’s degree
  • Successful work experience in an academic environment

Certificates, licenses, and registrations:

  • Valid driver's license

Travel required:

  • Less than 10%

Work hours: The university work week is Sunday through Saturday. Most offices are open Monday through Friday from 8:30 a.m. to 5:30 p.m. To accommodate business needs, employees may be assigned to other workdays and/or hours, including weekends and evenings.
