General Description:
Responsible for processing donations, sending acknowledgements,producing reports, donor briefings; maintaining data integrity andsecurity of constituent information, relationship management in thedatabase, follow and adhere to guidelines to ensure data hygieneand consistency; handle constituent communications; assist withfundraising activities, provide administrative support whilemaintaining a professional, well-organized, and friendlyenvironment for constituencies.

Qualifications: Knowledge, Skills & Abilities:
- Associate’s Degree or five (5) years’ experience in similar orrelated work experience.
- Advanced working knowledge of Customer Relations Management(CRM) programs or similar fundraising software preferred.Proficiency with Boomerang preferred.
- Proven success as an administrative assistant with a strictadherence to professional ethical standards andconfidentiality.
- Understanding of fund development and/or experience in funddevelopment preferred.
- Demonstrated flexibility and resourcefulness withorganizational ability, attention to detail, and soliddecision-making skills.
- Demonstrated ability to work as part of a successful team whileaccomplishing tasks and assignments without assistance.
- Ability to establish and maintain effective interpersonal andworking relationships with students, staff, donors, and outsideconstituents.
- Demonstrated ability to relate to people of all ages, races,and social-economic backgrounds.
- Able to work quickly and accurately with confidentialinformation and while handling cash and other transactions.
- High proficiency in demonstration of office technology,software, & equipment. Ability and willingness to upgradeskills including technology or process changes.
- Basic understanding of finance and ability to reconciledatabase input to general ledger transactions.
- Demonstrated excellence in both oral and written communicationwith proven abilities to produce professional correspondence fordonors and other constituents.
- Ability to maintain priorities and follow direction whilebalancing multiple projects.
- Assist in event planning and execution.
- Available to work occasional evenings or weekends.
- Demonstrated use of tact, judgment and discretion and theability to maintain confidentiality.

- Requires prolonged sitting or standing, keyboarding and work oncomputer (hand/eye strain), speaking in English via phone or inperson.
Essential Functions:
- Maintain constituent database; document all constituentactivities and contacts, update daily as needed and preparequeries/reports as needed to direct fundraising, scholarshipmanagement, donor research, and other projects.
- Receive, record, and issue receipts for all incoming funds andbalance receipts to accounting records. Count and reconcile cashreceipts and prepare bank statements.
- Accurately and efficiently complete all financial transactions,cash handling, and other processing functions while followingprocedures.
- Manage gift acknowledgement process, including data entry,reports, and merging thank you letters.
- Reconcile database with accounting, produce financial reportsand monitor compliance with BBB Charitable Giving Guidelines andother nonprofit reporting agencies.
- Monitor pledge receivables and follow up on past due pledges asdirected.
- Generate profiles, statements and other reports for boardmembers, staff and other ambassadors for use in donor stewardshipand cultivation.
- Assist with all fundraising events and donor interactions.
- Receive and synthesize information into well-written prospectbriefings, enter and maintain data (assignment’s, priorities, andproposals) in database.
- Perform data quality assurance testing and participating indata clean-up projects as needed.
- Assist in general office duties as needed, monitor and maintainweb/MYMCC pages, answering phones and directing calls, organizingmeetings, responding to inquiries, maintaining departmental files(paper and electronic), sorting mail, keeping track of and orderingsupplies, maintaining calendar(s), sending faxes and makingcopies.
- Assist with Foundation for Muskegon Community College Boardmeetings by helping with set-up, communications, and takingminutes.
- Other duties as assigned.

Work Environment
