Overview

Dental Practice Manager

Summary: The Practice Manager is responsible for strategic planning, office start-up, staffing, general office management and oversight, development of a comprehensive marketing plan, managing and motivating the sales team, performing comprehensive human resources functions, training and mentoring staff, billing and collections, and acting as the technical support liaison. Most roles are supportive or secondary to the direct department managers, with primary roles taking precedence if the managers are unavailable.

This position is eligible to earn monthly bonuses.

Responsibilities

Essential Duties and Responsibilities: include the following, with other duties as assigned.

Strategic Planning

  • Focus on practice development
  • Plan for hiring office personnel
  • Research demographics of the trading zone
  • Identify target patients and marketing strategies

Staffing & Scheduling

  • Collect resumes and pre-screen candidates
  • Enforce handbook policies and notices
  • Manage associate, team, and patient scheduling
  • Review timecards and approve payroll exceptions such as overtime and penalties

General Office Management and Oversight

  • Process bill payments and handle mail
  • Assist with CE tracking for staff and doctors
  • Maintain business practice plans and oversee office systems and procedures
  • Audit daily charts, review reports, and ensure schedule adherence

Human Resources Support

  • Oversee staffing, personnel management, payroll, and benefits
  • Handle grievances and assist with employee performance reviews
  • Review employee timesheets, tardiness, and absences
  • Train staff and manage site visits for interns or candidates

Billing and Collections

  • Perform data entry, banking, billing, and collections
  • Assist with insurance processing and related administrative tasks

Computer Network Support

  • Act as liaison for computer and network maintenance
  • Assist IT with technical issues and staff training on practice management software

Supervisory Responsibilities: Directly supervise office employees, including interviewing, hiring, training, performance appraisal, and conflict resolution. Lead daily team huddles and facilitate weekly and monthly meetings to discuss goals, recognize performance, and address issues.

Qualifications

Education and Experience:

  • High School Diploma or equivalent
  • At least 1 year managing a dental practice, focusing on operations and personnel
  • Experience with Profit & Loss and financial reports to manage production goals
  • Experience in a Dental Service Organization is preferred
  • Bilingual in Spanish is preferred
