High End Hiring is seeking a Dental Office Manager / Front Desk for a brand-new dental practice in Wisconsin. You will wear many hats at inception, build a full schedule, manage insurance tasks, and help recruit and train the team as the office grows.

This hands-on role evolves into a leadership position with the right candidate. Responsibilities include scheduling, insurance verification, billing, and creating front-office systems.

Dental Office Manager / Front Desk

Exciting Opportunity to Help Build a Brand-New Dental Practice!

We are opening a brand-new dental office and are looking for an experienced, motivated Dental Office Manager / Front Desk professional who is excited by the opportunity to help build a practice from the ground up.

This is a unique position for someone who enjoys taking ownership. In the beginning, you will wear many hats. As the practice grows and the schedule becomes busier, additional team members will be hired and you will have the opportunity to help build, train, and manage the team beneath you.

The ideal candidate is organized, proactive, personable, and comfortable working independently. You should understand that growing a new dental practice requires energy, follow-through, and a willingness to jump in wherever needed.

Your Initial Priorities

Your two most important responsibilities will be:

Building & Maintaining a Full Schedule

  • Answer incoming calls and convert inquiries into appointments
  • Schedule new and existing patients efficiently
  • Confirm appointments and minimize cancellations and no-shows
  • Follow up with unscheduled treatment and overdue patients
  • Maintain an organized, productive schedule
  • Help create an excellent experience for every new patient
  • Take an active role in growing the patient base and keeping the office busy

Dental Billing & Insurance

  • Verify insurance eligibility and benefits
  • Submit dental insurance claims accurately and promptly
  • Follow up on outstanding and unpaid claims
  • Resolve denials and insurance issues
  • Post insurance and patient payments
  • Review EOBs and maintain accurate patient ledgers
  • Collect patient balances and explain financial responsibilities
  • Stay on top of accounts receivable and outstanding claims
As the Practice Grows

This position is designed to grow along with the office. As patient volume increases, we expect to add front desk, billing, and administrative support.

Your role will gradually transition from doing everything yourself to overseeing the people doing it, with responsibilities that may include:

  • Helping recruit and train new administrative team members
  • Establishing front-office systems and procedures
  • Delegating responsibilities as the team expands
  • Monitoring scheduling, collections, billing, and insurance performance
  • Creating accountability within the front office
  • Working closely with the doctor/owner to help the practice reach its goals
  • Taking increasing responsibility for the overall day-to-day management of the practice
Who We're Looking For

We are looking for someone who can say:

“Give me the office, and I’ll help you build it.”

You should be someone who takes initiative rather than waiting to be told what to do. You notice an empty schedule and work to fill it. You see an unpaid claim and follow it through until it is resolved. You recognize when a system isn't working and help create a better one.

Previous dental front desk, dental billing, insurance, or office management experience is strongly preferred. Experience helping grow or organize a dental practice is a major plus.
