Qualifications

  • Proficiency with Microsoft Office and dental practice-management software.

We are seeking a highly organized, motivated, and personable Office Manager to oversee the daily operations of our Long Beach, California, practice. The ideal candidate will be a strong and confident leader with exceptional communication skills, extensive patient-management experience, and the ability to develop and hold teams accountable while maintaining a positive and professional work environment.

Key Responsibilities
Office Operations
  • Oversee daily office operations to ensure an efficient, organized, and patient-focused practice.
  • Maintain and enforce office policies, procedures, and performance standards in accordance with company guidelines and applicable regulations.
  • Monitor office supplies and inventory to ensure the practice remains fully stocked and operational.
  • Identify opportunities to improve workflows, productivity, and overall office performance.
  • Partner with clinical and operational leadership to support practice goals and initiatives.
Leadership and Staff Management
  • Provide strong, consistent leadership to administrative and support staff.
  • Lead, motivate, coach, and hold team members accountable while fostering a collaborative and professional work environment.
  • Coordinate employee schedules to maintain appropriate staffing levels and optimize productivity.
  • Train and evaluate employees, provide timely feedback, and address performance or conduct concerns appropriately.
  • Organize and lead effective staff meetings while ensuring clear and consistent communication throughout the practice.
  • Promote teamwork, employee engagement, accountability, and a positive workplace culture.
Financial and Practice Oversight
  • Assist with budgeting, expense management, financial reporting, and achievement of practice goals.
  • Oversee billing, insurance claims, collections, and patient accounts to ensure timely and accurate processing.
  • Monitor key performance indicators and help implement action plans to improve practice performance.
  • Collaborate with the finance and Revenue Cycle Management teams to streamline financial processes and resolve account-related concerns.
Patient Management and Experience
  • Oversee the patient experience from initial contact through treatment and follow-up.
  • Serve as a primary point of contact for escalated patient inquiries, complaints, concerns, and feedback.
  • Manage challenging patient situations professionally, calmly, and with a solutions-focused approach.
  • Ensure patients and visitors receive welcoming, compassionate, and professional service.
  • Implement processes that improve patient satisfaction, communication, retention, and overall experience.
  • Work closely with the clinical and administrative teams to resolve patient concerns and maintain continuity of care.
Technology and Records Management
  • Ensure patient records are accurate, organized, and maintained confidentially in compliance with HIPAA requirements.
  • Oversee the scheduling system to maximize patient flow, productivity, and operational efficiency.
  • Ensure the team uses practice-management software and other office technology accurately and consistently.
Requirements
  • Minimum of five years of leadership or management experience in a dental office is required.
  • Proven ability to lead, coach, motivate, and hold teams accountable.
  • Strong patient-management experience, including resolving concerns and managing escalated patient situations.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills and the ability to communicate effectively with patients, employees, providers, and leadership.

  • Proficiency with Microsoft Office, dental practice-management software, scheduling systems, and electronic patient records.
  • Knowledge of dental terminology, billing, insurance, collections, and treatment workflows is strongly preferred.
