Job summary

Empower Dental Group in Southern California is seeking an experienced Dental Office Manager to lead financial coordination, scheduling, insurance processing, and team leadership across 7 practices. You will oversee budgets, billing, and compliance while driving a patient-centered, efficient operation.

The role requires robust knowledge of dental procedures, insurance processes, and practice management software, with a focus on revenue integrity and solid leadership.

Qualifications

  • High School Diploma or equivalent required.
  • 3+ years of experience in multi specialty dental office management (required).
  • 5+ years of total experience in a dental organization (required).
  • Knowledge of dental procedures, terminology and insurance processes.
  • Strong understanding of third-party financing options (e.g., Sunbit, CareCredit).
  • Proficiency with dental practice management software (Open Dental) (required).
  • Working knowledge of EHR and dental/medical billing coding.

Responsibilities

  • Provide accurate treatment estimates and document financial agreements.
  • Collect co-pays/deposits prior to scheduling and assist with financing.
  • Manage budgets, monitor expenses, and oversee billing/collections.
  • Collaborate with billing staff for correct posting of codes.
  • Generate financial/performance reports for ownership/management.
  • Manage provider schedules to maintain optimal flow and experience.
  • Coordinate appointments and transitions between clinical/front office teams.
  • Track follow-ups on treatment plans to ensure timely scheduling.
  • Oversee day-to-day office operations, supplies, sterilization, and facilities.
  • Confirm insurance benefits, pre-authorizations, and communicate details to patients.
  • Coordinate with insurers to process claims and manage denials.
  • Lead daily team huddles and collaborate with clinicians and staff.
  • Supervise, train, and evaluate staff; support hiring decisions.
  • Maintain compliance with OSHA, HIPAA, CDA, and HR policies.

Required Qualifications

  • Oversee day-to-day office operations, including supplies, sterilization protocols, and facility upkeep.
Insurance & Authorization Support
  • Confirm insurance benefits, limitations, and pre-authorizations as needed.
  • Communicate insurance details clearly to patients and help resolve questions or discrepancies.
  • Coordinate with insurance providers to process claims, manage denials, and ensure accurate patient accounts.
Team Leadership & Collaboration
  • Lead daily team huddles to align on schedules, goals, and performance metrics.
  • Collaborate with dentists, hygienists, assistants, and front office staff for coordinated patient care.
  • Supervise, train, and provide feedback to staff; participate in hiring and performance evaluations.
  • Foster a positive, communicative work environment and address conflicts or concerns proactively.
Compliance & Policy Management
  • Ensure adherence to OSHA, HIPAA, CDA, and HR policies and safety standards.
  • Maintain accurate patient records, insurance documentation, and operational compliance.
  • Develop and implement office policies and procedures to support efficiency, safety, and regulatory compliance.
