GENERAL MANAGER - Dental Office

Salary: $65,000 per year + Performance Bonus
JOB PURPOSE
The General Manager is the leader of the dental office and is responsible for overseeing the day-to-day operations, financial performance, team development, and overall patient experience. This position requires a strong work ethic, energy, determination, sound judgment, leadership ability, excellent communication and sales skills, and a commitment to outstanding attendance and reliability.
The General Manager is responsible for ensuring the office operates efficiently, maintains high standards of quality and compliance, achieves financial and operational goals, and consistently delivers an exceptional patient experience. The successful candidate must be versatile, highly organized, results-oriented, and capable of effectively leading and developing a team.
GENERAL DUTIES & RESPONSIBILITIES
Office Operations & Leadership
- Lead and oversee all aspects of daily dental office operations.
- Supervise the on-site laboratory, including quality of work, production, workflow, maintenance, and cleanliness.
- Supervise and support the office team, including scheduling, patient flow, office appearance, maintenance, and cleanliness.
- Ensure the office operates in an efficient, professional, and patient-focused manner.
- Open and close the office as required.
- Maintain the cleanliness and professional appearance of the building and property.
- Ensure adequate inventory of office and dental supplies.
- Maintain a positive, productive, and collaborative work environment.
Patient Experience & Care
- Manage the overall patient experience and promote a welcoming, friendly, and efficient office environment.
- Maintain a culture focused on exceeding patient expectations and delivering exceptional service.
- Assist with or conduct patient consultations as appropriate.
- Address and resolve patient concerns and complaints in a professional, compassionate, and timely manner.
- Monitor patient flow and identify opportunities to improve the patient experience and office efficiency.
- Motivate and coach team members to consistently provide outstanding patient service.
Financial & Administrative Management
- Ensure daily revenue reports are accurate, complete, and submitted on time.
- Ensure daily bank deposits are completed accurately and timely.
- Monitor and manage office expenses, including payroll, dental supplies, laboratory expenses, advertising, and other operating costs.
- Review financial performance and identify opportunities to improve efficiency and profitability.
- Submit invoices and supporting documentation to accounting on a weekly basis.
- Manage petty cash and maintain accurate records and reports for accounting.
- Submit payroll information accurately and on time for all office team members.
Compliance & Risk Management
- Maintain a thorough understanding of and ensure compliance with HIPAA, OSHA, and other applicable regulatory requirements.
- Ensure patient charts and documentation are maintained accurately and in accordance with company and regulatory requirements.
- Monitor the office for compliance with applicable policies, procedures, and legal requirements.
- Address compliance issues promptly and communicate significant concerns to appropriate leadership.
Staffing, Training & Team Development
- Recruit, interview, hire, and onboard office team members as needed.
- Ensure every team member receives appropriate training and has the knowledge and resources necessary to perform their role effectively.
- Provide ongoing coaching, feedback, and performance development.
- Administer disciplinary actions when necessary and in accordance with company policies.
- Foster accountability, teamwork, professionalism, and continuous improvement.
- Recognize and develop employees while maintaining high performance standards.
Communication & Reporting
- Keep doctors informed of key practice activities, operational challenges, financial performance, staffing matters, and successes.
- Partner with doctors and leadership to identify issues, develop solutions, and maintain positive outcomes.
- Communicate effectively with employees, patients, doctors, vendors, and senior management.
- Provide timely and accurate information and reporting as required.
EDUCATIONAL REQUIREMENTS
- High school diploma or equivalent required.
- Bachelor's degree preferred.
GENERAL KNOWLEDGE, SKILLS & ABILITIES
- Minimum of 3 years of management experience, preferably in a healthcare, dental, medical, or service-based environment.
