Duties and Responsibilities
  • Greet patients and visitors in a courteous and friendly manner upon their arrival at the office.
  • Schedule and confirm patient appointments using practice management software, ensuring optimal use of practitioners' time and minimizing scheduling conflicts.
  • Answer incoming calls, manage the switchboard, and provide information or redirect calls as necessary to ensure effective communication within the office.
  • Maintain patient records with accuracy, updating them with the latest information regarding contact details, insurance, and medical history.
  • Process patient check-ins and check-outs efficiently, ensuring all necessary paperwork is complete and accurate.
  • Handle billing procedures and insurance claims, submitting claims and managing invoices and receipts accurately.
  • Coordinate with dental staff and other departments to manage daily administrative operations smoothly.
  • Prepare and maintain the reception area and all common spaces in a manner that ensures cleanliness and organization at all times.
  • Provide patients with information regarding treatments, procedures, and office policies.
  • Manage office supplies inventory and place orders as necessary to ensure the office is well-stocked and operational.
  • Assist in the management of office emergencies with professionalism and composure.
  • Participate in office meetings and training sessions to stay updated on the latest office practices and to improve job performance.
  • Perform other clerical duties such as filing, photocopying, transcribing, and faxing.
Requirements
  • High school diploma or equivalent; further certification in Office Management is a plus.
  • Proven experience as a Front Office Receptionist, Scheduler, or similar administrative role, preferably in a dental or medical office.
  • Strong understanding of office administration and basic accounting practices.
  • Superb communication skills, both verbal and written, with an ability to interact amiably with patients and team members.
  • High level of proficiency in using office software and technology, including practice management software, Microsoft Office Suite, and database systems.
  • Excellent organizational and multitasking abilities, capable of working under pressure in a fast-paced environment.
  • A keen eye for detail and a commitment to accuracy in all aspects of administrative work.
  • Ability to handle sensitive information confidentially.
  • Strong customer service orientation and problem-solving skills.
  • Flexibility to adapt to changing schedules and job duties.
