Job summary

Barbosa's is seeking a Dealer & Distributor Account Coordinator in Tracy, CA. This full-time, on-site role coordinates orders and materials across Estimating, Sales, Production, Purchasing and Delivery to support dealer/distributor channels.

The ideal candidate will maintain clear communication, manage multiple orders, and build professional relationships with customers while ensuring timely delivery and issue resolution.

Responsibilities

• Serve as the primary day-to-day contact for dealer and distributor accounts.
• Respond to questions regarding pricing, orders, production schedules, deliveries, and order status.
• Provide proactive communication regarding changes, delays, and issues.
• Maintain timely follow-up on open customer items through resolution.
• Build and maintain professional relationships with dealer and distributor customers.
• Receive and process dealer/distributor orders.
• Review orders for completeness, accuracy, specifications, quantities, and required information.
• Coordinate with Estimating when pricing, clarification, or missing information is required.
• Enter and maintain orders in estimating/order-processing systems.
• Monitor orders from submission through production and delivery.
• Ensure order changes and revisions are documented and communicated.
• Coordinate internally regarding shortages, remakes, and delivery issues.
• Maintain visibility into open issues and escalate potential problems.
• Coordinate onboarding requirements and ongoing account support.
• Coordinate samples, displays, literature, and marketing collateral.
• Maintain tracking of outstanding samples and customer requests.
• Support implementation of ordering and design tools, including 2020 Design.
• Assist with communication of product updates and program changes.
• Maintain organized account information and program documentation.
• Coordinate across departments to support dealer/distributor requirements.
• Identify and address issues early and work toward resolution.
• Escalate issues when commitments or delivery dates are at risk.
• Maintain ownership until outstanding items are closed.
