Responsibilities

  • Partner & School Communications: primary contact for partnering schools and community site partners; manage day-to-day communications and program logistics; conduct ongoing check-ins for satisfaction.
  • Surveys, Results & Reporting: administer pre/post surveys and program assessments; compile, analyze, and report results to leadership and partner sites; maintain program reporting across accounts.
  • Supplies & Logistics: track, order, and distribute program supplies; ensure sites and coaches have what they need; coordinate coach training and certifications; manage background clearances.
  • Invoicing & Onboarding: process and track invoicing for partner sites and coaches; manage onboarding for new coaches and partner sites.
  • Troubleshooting: respond to scheduling conflicts, coach coverage gaps, and partner/coach concerns; escalate when needed.
  • Organization & Travel: partner sites require regular travel across the Pittsburgh region to sites and centers.

Job description

DashStrom trains the growth mindset in children through physical programming. We deploy university-trained coaches across school and community sites to help kids discover their “Dash” — the confidence, resilience, and strength that comes from movement, mindset, and community.

POSITION SUMMARY

The Partner Coordinator is the operational backbone connecting DashStrom's coaches, school and center partners, and leadership team. This role owns the full lifecycle of a partner relationship and a coach's engagement — from first communication and onboarding through certification, ongoing class delivery, and reporting. The ideal candidate is highly organized, an excellent communicator, and energized by keeping many moving pieces (people, paperwork, and programming) running smoothly and on time.

KEY RESPONSIBILITIES

Partner & School Communications

  • Serve as the primary point of contact for all partnering schools and community site partners.
  • Manage day-to-day communications, including scheduling updates, program logistics, and partner questions.
  • Conduct ongoing check-ins with partner sites to ensure program satisfaction and identify issues early.

Surveys, Results & Reporting

  • Administer pre/post surveys and program assessments (e.g., Growth Mindset Scale, Output Scale) to coaches, students, and partner staff.
  • Compile, analyze, and report survey results to leadership and partner sites.
  • Maintain ongoing program reporting, including attendance, engagement, and outcome data across all accounts.

Supplies & Logistics

  • Track, order, and distribute program supplies and equipment across all coaching sites.
  • Ensure each site and coach has what's needed ahead of each session or season.
  • Coordinate and help facilitate coach training sessions, including onboarding modules and role-specific developmental tracks.
  • Track coach certifications and ensure all training requirements are completed on schedule.
  • Manage background clearances required for coaches working in Pennsylvania schools and centers, ensuring full compliance before placement.

Invoicing & Onboarding

  • Process and track invoicing for partner sites and coaches.
  • Manage new coach onboarding end-to-end: paperwork, clearances, training scheduling, and first-session readiness.
  • Manage new partner site onboarding, including account setup and initial program logistics.

Troubleshooting

  • Serve as the first line of response for scheduling conflicts, coach coverage gaps, and partner or coach concerns.
  • Resolve day-to-day operational issues quickly, escalating to leadership when needed.

  • Issues are caught and resolved before they affect a student, coach, or partner.
