Nature and Scope of Job
To effectively and efficiently organize and manage the office in a cooperative team environment and present a professional, competent, and friendly image. The role includes secretarial/office assistant duties and assists licensed staff in the general operations of the CyberLynx Program.
Position Qualifications
- “Secretarial” AA degree or equivalent training or experience
- Minimum of three years of secretarial experience (school setting preferred)
- Accurate spelling, grammar, and letter writing skills
- Initiative and exceptional public relations/interpersonal skills
- Computer skills: Word processing, spreadsheets, database creation and use, desktop publishing
- Clear thinking and accurate calculation
- Exceptional organizational skills
- Exceptional telephone skills
- Ability to work with diverse personalities (flexibility)
- Sound emotional judgment
- Ability to follow written and oral directions
Essential Functions
- Demonstrate consistent punctuality and regular attendance
- Answer incoming telephone calls and serve as the receptionist; perform initial assessment, resolve or route calls, and record calls on the family log
- Typing, production, and organization assignments, including:
- General correspondence
- Preparation, production, and distribution of copies
- Purchase orders
- Record‑keeping forms (enrollment, student file structure, etc.)
- Staff, student, and curriculum handbooks
- Parent Newsletter and district website updates
- Other materials as directed by the Principal
- Maintain accurate financial accounting records; process parent reimbursements and manage backup data
- Update family logs with licensed staff for all parent/student interactions and correspondence
- Communicate with parents by phone, e‑mail, or postal mail regarding exams or curriculum availability; perform courtesy call backs as needed
- Schedule parent and student meetings with advisors using electronic shared calendars
- Collect and organize timesheets for signature
- Maintain student records, files, and service data; e‑mail PER forms to CyberLynx
- Request files from sending schools for newly enrolled students
- Produce weekly and monthly calendars of office events
- Maintain records of office and teaching supplies; oversee inventory levels
- Assist in ordering supplies and prepare forms for Accounts Payable
- Prepare and maintain federal and state records and reports
- Maintain an accurate list of currently enrolled students and archive past years’ students
- Maintain confidentiality of district, staff, and student information
- Show initiative and creativity
- Maintain a clean and presentable facility (trash, vacuuming, restroom cleanliness, etc.)
- Manage all postal mail and related needs; document processing of tests, assessments, grades, and related records with universities and others
- Assist Parent Advisors with review, upkeep, and repair of PER forms
- Perform other tasks and duties assigned by the Principal

Physical Demands
- Finger strength for typing on computer keyboard
- Finger, hand, and arm strength for writing on paper and whiteboards
- Visual acuity and stamina to work at a computer monitor
- Lower body strength to kneel, stand, and walk as needed
- Upper body strength to lift up to 25 pounds and carry more than 50 feet
- Verbal stamina to articulate clearly and with appropriate volume
- Auditory discrimination to receive detailed information at five feet and above classroom noise
