Coilcraft, Inc. is seeking a Customer Service Administrator in Cary, Illinois. You will support the Customer Service team with daily administrative tasks, answer phones, manage inquiries, and help with order-related information to ensure smooth operations across departments and international locations.

Qualifications

  • High school diploma or equivalent is required or preferred.
  • Strong verbal and written communication skills.
  • Proficient with Microsoft Office.

  • Ability to prioritize multiple requests and follow through to completion.
  • Willing to assist across departments and international locations.

Responsibilities

  • Answer incoming calls to Coilcraft's general phone line and route messages or assist callers.
  • Monitor the general sales email inbox and respond or route inquiries.
  • Provide administrative support to the Customer Service team, including supplier forms and other documentation.
  • Respond to requests from Coilcraft's international teams regarding product availability, stock, and COO information.
  • Assist with gathering product weights and dimensions for customer requests.
  • Prepare and distribute open-order reports for Customer Service Representatives.
  • Help maintain records and ensure requests are directed and completed timely.
  • Provide administrative support to other departments when workload allows; assist with additional projects.

SUPPORT CUSTOMER SERVICE OPERATIONS AT COILCRAFT Position: Customer Service Administrator Location: Cary, Illinois Coilcraft, Inc. is a privately held global manufacturer headquartered in Cary, Illinois, with a 75+ year reputation for quality and engineering excellence. Our high-performance magnetic components serve customers across telecommunications, computing, automotive, broadband communications, and consumer electronics worldwide. We are seeking a Customer Service Administrator to join our Customer Service team. This role is ideal for someone who is organized, dependable, and enjoys helping others. You'll provide day-to-day administrative support that keeps the department running smoothly, allowing our Customer Service Representatives to focus on customer relationships and account management.

About The Role And Your Impact
  • Answer incoming calls to Coilcraft's general phone line and assist callers directly or route messages to the appropriate department or Customer Service Representative
  • Monitor the general sales email inbox and respond to or route customer inquiries to the appropriate team member
  • Provide administrative and clerical support to the Customer Service team, including supplier forms and other customer documentation
  • Respond to requests from Coilcraft's international teams regarding product availability, stock, and Country of Origin (COO) information
  • Assist with gathering product weights and dimensions for customer requests
  • Prepare and distribute open-order reports for Customer Service Representatives
  • Help maintain accurate records and ensure customer requests are directed and completed in a timely manner
  • Provide administrative support to other departments when Customer Service workload allowsAssist with additional projects and general office responsibilities as needed
Who We're Looking For
  • High school diploma or equivalent
  • Previous administrative, customer service, or office experience preferred
  • Strong verbal and written communication skills
  • Comfortable answering phones and communicating professionally with customers and employees
  • Strong computer skills, including Microsoft Office
  • Excellent attention to detail and organizational skills
  • Ability to prioritize multiple requests and follow through to completion
  • Dependable, flexible, and willing to assist wherever needed
  • Ability to work effectively with colleagues across departments and international locations
Preferred Skills
  • Experience in an administrative support or customer service environment
  • Experience working with ERP, order management, or other business systems
  • Microsoft Excel experience
  • Previous experience in a manufacturing or business-to-business environment
