Prophetic Software in Portland, OR is seeking a hands-on onboarding and support specialist. You will own onboarding logistics, first-line support, and the systems work that lets Account Managers focus on relationships and expansion.

This entry-point role offers growth into Account Management, Customer Success, or operations as we scale. You will work EST hours and collaborate across teams using HubSpot, Intercom, and Notion, with AI tooling integrated daily.

Qualifications

• 1–3 years in customer support, customer success, account coordination, or a related client-facing role.
• Strong organizational skills and reliable handoffs.
• Clear, empathetic communication for non-technical users.
• Comfort learning HubSpot, Intercom, Notion, Slack.
• Self-starter with ability to work in ambiguity.

Responsibilities

• Configure new customer accounts and set up user access before onboarding.
• Coordinate onboarding scheduling across sales and account management.
• Serve as first-line support via Intercom, email, and Slack; resolve and track to resolution.
• Triage and manage incoming support tickets with urgency.
• Maintain and update knowledge base articles as the product evolves.
• Create quick guides and FAQs from common support patterns.
• Assist Account Managers with data exports and usage reports.
• Support the sales-to-AM handoff for smooth transition.
• Monitor account health signals and flag risks early.
• Coordinate with Data and Product teams on map layers and enhancements.
• Keep HubSpot, Intercom, and Notion data clean and current.
