The CRM Manager is responsible for ensuring CRM systems and processes supporting Recruitment, Admissions, and Orientation (RAO) are effectively maintained, utilized, and continuously improved to support prospective and incoming students throughout the enrollment process. Working under the direction of the Director of Recruitment, Admissions, and Orientation and in close collaboration with the Director of CRM Optimization and Strategy, the CRM Manager serves as RAO’s functional CRM expert and helps translate departmental priorities and operational needs into effective CRM processes, communications, reporting, and system functionality. The CRM Manager partners closely with the collegewide CRM team to ensure RAO processes and practices align with institutional CRM strategy, standards, and best practices.
The CRM Manager supports data-informed decision-making by maintaining reliable CRM data and reporting, identifying trends and opportunities for improvement, and providing analysis of key enrollment indicators to RAO leadership. The position contributes to a community of practice focused on collaboration, continuous learning, and student-centered improvement.
Job Functions:
CRM System & Communication Management:
Serve as the functional lead for CRM processes supporting the TargetX Recruitment Suite. Build, maintain, and manage communications on behalf of RAO within the CRM platform, ensuring communications are accurate, timely, consistent, and aligned with departmental enrollment goals and the student experience. Coordinate with departments across the College to align student communications, minimize unnecessary duplication or overlap, and support a consistent student experience throughout the enrollment process. Ensure CRM functionality supporting each enrollment term is appropriately configured and ready for use, including admissions applications, communication plans, events, and related processes. Collaborate with the collegewide CRM team and other stakeholders on system enhancements, institutional communication strategies, and CRM initiatives.
Data, Process & Department Support:
In collaboration with RAO leadership and the collegewide CRM team, develop, implement, monitor, and continuously improve CRM processes and workflows that support recruitment, admissions, orientation, and enrollment operations. Maintain strong data governance and quality standards, including monitoring data accuracy, consistency, and integrity across RAO processes. Develop and maintain reports and dashboards that support operational needs and strategic decision-making. Analyze CRM data to identify trends, process gaps, and opportunities to improve efficiency and the student experience. Collaborate with stakeholders across departments to gather requirements, address operational needs, and implement effective solutions.
Documentation, Training, & Continuous Improvement:
Continuously evaluate CRM-related procedures and workflows to identify opportunities for improvement. Develop and maintain documentation for manual and automated processes to promote continuity, consistency, and effective system use. Develop and maintain guides, procedures, and training resources for RAO CRM functionality. Serve as the primary CRM trainer and functional resource for RAO staff. In collaboration with the Director of CRM Optimization and Strategy, CRM Administrator, and appropriate stakeholders, support the planning, testing, implementation, and evaluation of system and process improvements. Promote a culture of continuous learning and shared understanding of CRM processes and best practices.
Technical & Functional Support:
Provide functional support and initial troubleshooting for CRM systems and processes used by RAO, including recruitment, admissions, communications, and event management functionality. Partner with the Director of CRM Optimization and Strategy, CRM Administrator, Information Technology, and other appropriate stakeholders to investigate technical issues, coordinate system modifications and upgrades, and assess impacts to departmental operations and the student experience. Participate in testing and validation of CRM changes prior to implementation and communicate relevant changes to RAO staff.
RAO Support & Community of Practice:
Maintain working knowledge of RAO policies, procedures, and enrollment services to ensure CRM processes and solutions effectively support departmental operations and the student experience. Actively contribute to a community of practice focused on collaboration, continuous learning, and student-centered improvement. Build effective working relationships across RAO, Student Affairs, and the College to support coordinated enrollment services. Perform other duties as assigned.
