Job summary

Allegiant in Las Vegas is seeking a Crew Planning Specialist to oversee long- and short-term staffing, bid preparation, and base staffing decisions. You will coordinate with Flight Crew Management, Network Planning, Crew Payroll, and others to ensure compliance and timely information flow.

Responsibilities include developing monthly bidding resources, auditing bid packets, and collaborating with departments to optimize crew utilization while supporting work‑life balance for flight crews.

Qualifications

  • Bachelor’s Degree required.
  • Authorized to work in the U.S. as defined by the Immigration Act of 1986.
  • Pass a criminal background check.
  • Minimum three (3) years of total experience in the Airline Industry.
  • Minimum three (3) years of experience in part 135/121 scheduling/dispatching or crew scheduling/planning.
  • Exceptional Microsoft Office skills with emphasis on Excel formulas for data mining.
  • Strong written and verbal communication skills; ability to articulate ideas clearly.
  • English proficiency for reading, writing, and speaking.
  • Ability to function in a high-stress, fast-paced environment with minimal supervision.
  • Self-starter with discretion dealing with confidential information.
  • Willingness to work varying shifts, including evenings, weekends, and holidays.

Responsibilities

  • Coordinate with Network Planning to create flight pairings through optimization.
  • Outline headcount models to meet operational demand.
  • Develop monthly schedule bidding resources and documents.
  • Maintain base changes, TDY assignments, and bid flags.
  • Collaborate with multiple departments to set TDY parameters and monthly hours.
  • Lead annual crew vacation bid and adjust portals after awards.
  • Audit bid packets for regulatory and CBA compliance.
  • Generate pre-bid pairings and final bid awards in Crew Management System.
  • Maximize crew utilization while maintaining quality of life.
  • Audit data integration between bidding interfaces and crew schedules.

Job description

Summary

The Crew Planning Specialist is responsible for overseeing and executing long‑ and short‑term crew staffing goals and processes. The role includes analyzing and administering vacancy, TDY, vacation, and monthly schedule bid preparation and awards, while monitoring staffing levels across all bases, seats, and fleets to meet company objectives. The specialist assists the Supervisor of Crew Planning with data collection, auditing, and monthly reporting, and liaises with Flight Crew Management, Network Planning, Crew Training, Line Training, Crew Payroll, Crew Travel, and Crew Scheduling. Regulatory compliance, schedule continuity, CBA compliance, and adherence to policies and procedures are imperative. The position supports new systems implementation and automates current processes.

Minimum Requirements
  • Combination of education and experience will be considered.
  • Authorized to work in the U.S. as defined by the Immigration Act of 1986.
  • Must pass a criminal background check.
  • Education: Bachelor’s Degree.
  • Minimum three (3) years of total experience in the Airline Industry.
  • Minimum three (3) years of experience in part 135/121 scheduling/dispatching or in crew scheduling/planning.
  • Passport book not required.
  • Driver’s license not required.
  • Exceptional Microsoft Office skills with emphasis on Excel formulas for efficient processes and data mining.
  • Strong written and verbal communication skills; ability to articulate ideas and recommendations clearly.
  • English proficiency for reading, writing, and speaking to understand instructions and interact with customers.
  • Capability to function in a high‑stress, fast‑paced environment with minimal supervision.
  • High level of self‑discipline and motivation to interact effectively with all personnel levels.

Preferred Requirements
  • Airline experience with Collective Bargaining Agreements.
  • Knowledge of hiring development and related personnel processes.
  • Understanding of headcount modeling and forecasting.
  • Demonstrated conflict resolution skills.
  • Familiarity with FAR 121 and FAR 117 operations pertaining to crew operations.
  • Knowledge of crew management and scheduling systems.
  • Experience with PBS and optimization software.
  • Ability to analyze data sets and transform them into decision‑making tools for management.
Job Duties
  • Coordinate with Network Planning to create flight pairings through optimization.
  • Assist in outlining pilot and flight attendant headcount models to ensure base staffing meets operational demand.
  • Develop monthly schedule bidding resources and bid preparation documents for crews and internal departments.
  • Maintain Merlot base changes, TDY assignments, and bid flags.
  • Collaborate monthly with Flight Crew Operations, Crew Planning, Financial Planning and Analysis, and Crew Strategy to set TDY parameters, voluntary leaves, and monthly hour ranges.
  • Lead the annual crew vacation bid, monitor post‑bid requests, and adjust company portals when awards are confirmed.
  • Monitor crew member bidding eligibility regarding qualifications, leave of absences, and voluntary time off, coordinating with multiple departments.
  • Strategize and execute the vacancy bidding process based on staffing needs.
  • Audit bid packets for regulatory and CBA compliance.
  • Generate pre‑bidding pairings and final bid awards within the Crew Management System.
  • Maximize crew utilization while improving crew quality of life.
  • Audit data integration between bidding interfaces and crew schedules
  • Coordinate Flight Operation regulatory items such as green‑on‑green flying and landing currency compliance.
  • Create crew member schedules through PBS or similar systems, focusing on compliance and quality of life.
  • Manually construct incompatible schedules while maintaining compliance.
  • Support the Records department with crew validation flags before publishing.
  • Conduct UAT for new system deployments and updates.
  • Ensure timely information flow between all departments, management, and operational crew members.
  • Foster a positive work environment with open communication, trust, and accountability.
  • Collaborate with Business Intelligence to enhance bidding tools.
  • Communicate interdepartmentally to address bidding and staffing trends.
  • Assist Flight Crew Operations with bidding processes, including structuring documents and updating portal results.
  • Track and evaluate crew attrition trends for hiring forecasting.
  • Attend and coordinate meetings with operating departments to implement changes.
  • Serve as liaison to Crew Support Administrators, providing resources and recommendations.
  • Act as liaison between departments as related to this position.
  • Treat all individuals with fairness and respect, aligning with Allegiant Standards.
  • Support Contract Compliance with grievance‑related documentation and research.
  • Model Allegiant’s customer service standards in personal actions and direction.
  • Other duties as assigned.
Physical Requirements

The Physical Demands and Work Environment describe conditions required to perform this job. The role involves standing, sitting, talking, hearing, seeing, reaching, stooping, kneeling, and operating a computer, keyboard, printer, and phone. Lifting, pushing, pulling, or carrying up to 20 lbs. is required, as is working various shifts, including 24‑hour situations. Regular attendance is mandatory. Exposure to moderate noise, temperature and light fluctuations, confined areas, and extended computer use is expected. Some travel may be required.
