American College of Healthcare Executives (ACHE) is seeking a Credentialing Coordinator to manage end-to-end FACHE credentialing, serving as the primary liaison for Fellows and overseeing applications, recertifications, and delivery logistics for senior healthcare leaders.

The role emphasizes meticulous data management, collaboration with testing vendors, and timely communication with candidates. This is a hybrid Chicago-based position requiring 2 days in the office weekly.

Qualifications

  • Bachelor’s degree in education, business administration or related field preferred.
  • Minimum of three years’ experience in customer service, association management, or related role.
  • Salesforce or other association management software experience preferred.
  • Proficiency in Microsoft Office Suite, particularly Excel, PowerPoint, Access, and Teams.
  • Must be well-organized and detail-oriented; able to resolve complex, non-routine issues situations.
  • Strong written and verbal communication skills; tailor communications to stakeholders and situations.

Responsibilities

  • New Fellow Support 70% of Time: evaluate applications and guide candidates to completion.
  • Process references and ensure information accuracy.
  • Coordinate with external testing vendors for seamless examinations.
  • Monitor vendor reports and candidate progress.
  • Enter test scores in Salesforce; create candidate reports for marketing.
  • Meet with candidates reviewing materials before submission.
  • Recertifying Fellows Support 20% of Time: review recertification applications and follow up for missing docs.
  • Coordinate with Fellows on exception requests and deadlines for continuing education.
  • Convocation and Other Duties 10%: assist with gowning, logistics, and meetings; process expense reports and vendor payments.

ACHE is a hybrid work environment, requiring 2 days per week in our Chicago office and as such, only Chicago area based candidates will be considered.

PURPOSE

The purpose of this job is to serve our members, customers, and co-workers in a timely fashion. The Credentialing Coordinator ensures the integrity and growth of ACHE’s Fellow credential. This role will provide seamless administrative support and personalized customer service around the credential.

SUMMARY

This position supports ACHE’s mission by managing the end-to-end administration of the FACHE credentialing process. This position serves as the primary liaison for members advancing to Fellow, managing application reviews, recertifications, and delivery logistics to ensure a seamless experience for senior healthcare leaders.

JOB FUNCTIONS
  • New Fellow Support 70% of Time
  • Evaluate new Fellow applications for adherence to ACHE criteria, verifying all documentation and proactively guiding candidates to completion.
  • Process all references and ensure accuracy of information provided.
  • Coordinate with external testing vendor(s) to facilitate a seamless examination experience for candidates.
  • Monitor testing vendor reports to ensure data integrity and track candidate progress.
  • Coordinate all correspondence to candidates regarding testing approvals, extensions, and other complex exceptions.
  • Enter candidate test scores in Salesforce in a timely manner.
  • Create reports of candidates for marketing as needed.
  • Meet with new candidates requesting review of their materials before application submission.

  • Create reports of recertifying classes for marketing as needed.

  • Assist with coordinating the Convocation event, including the gowning process, supply ordering, packing, and day-of event logistics.
  • Coordinate scheduling of meetings as needed.
  • Process expense reports for staff and volunteer.
  • Process payments for invoices from vendors.
KNOWLEDGE AND SKILL REQUIREMENTS
  • Bachelor’s degree in education, business administration or a related field preferred.
  • Minimum of three years’ experience in customer service, association management, or related role, preferably with certification or credentialing.
  • Salesforce, or other association management software experience preferred.
  • Proficiency in Microsoft Office Suite, particularly Excel, PowerPoint, Access, and Teams.
  • Must be well-organized and detail-oriented; able to work independently to resolve complex, non-routine issues situations.
  • Strong written and verbal communication skills; able to communicate knowledge and concepts clearly and diplomatically, as well as tailor communications to a variety of stakeholders and situations.

OTHER REQUIREMENTS
  • Must have regular and predictable attendance.
  • Travel to our annual meeting is required.
