Job summary

Cambridge Health Alliance in Malden, MA is seeking an Administrative Assistant to support the Chief Development Officer and Chief Compliance Officer. This full-time role emphasizes calendar management, meeting preparation, minutes, and thorough follow-through across CHA departments.

You will maintain donor and funder data, assist with budgets, reimbursements and grant reporting, and help plan events and travel.

Qualifications

  • Associates degree required plus healthcare admin experience.
  • Minimum 5 years’ experience as an administrative assistant is required.
  • Ability to work independently and as part of a team.
  • Excellent written, verbal, organizational and interpersonal skills.
  • Understanding of donor software (CRM such as Raiser's Edge, Events Software)

Responsibilities

  • Provide administrative support to the Chief Development Officer and Chief Compliance Officer.
  • Prepare and follow-up meetings by preparing materials, minutes and all necessary follow-throughs.
  • Write and input minutes, memos, correspondence and reports as directed.
  • Coordinate daily activities for CHA executives, including schedules, events and travel.

Job Duties
  • Provides a variety of administrative functions to support the work of the CDO/CCO.
  • Assists in preparation and follow-up of meetings by preparing materials, minutes and all necessary follow-throughs. This will include Board, staff and community meetings.
  • Writes and inputs all minutes, memos, correspondence and reports as directed.
  • Organizes daily activities for DCO/CCO, including schedules, special events and travel, ongoing communications/correspondence, and coordinating, executing and purchasing supplies.
  • Maintains computer data bases including but not limited to donors/funders, budgets, staffing, and grants
  • Ensures timely and accurate budget, reimbursement, distribution, and reporting for grant funds
  • Data management and information system experience related to data entry, cleaning, and report writing
  • Demonstrated effective project management skills and experience
  • Strong written & verbal communication skills, with the ability to tailor message to individuals and audiences
  • Strong organizational skills with the ability to focus detailed concentrated effort to multiple projects and re-establish priorities as necessary.
  • Initiative and ability to be self-directed, while thriving in a setting requiring collaboration and teamwork for maximal efficiency and effectiveness.
  • Attention to detail that ensures appropriate & timely follow through on projects undertaken
  • Ability to effectively respond to time sensitive issues and meet deadlines.
  • Supports and assists with coordination of events, meetings, and programming for both departments.
  • Demonstrated ability to manage a busy office environment that requires teamwork, collaboration and flexibility within the context of a complex hospital system
Qualifications

Associates degree required plus prior administrative experience in a healthcare setting; Bachelor's degree preferred. Ability to work independently and as part of a team.

Ability to work well with diverse clients, peers and managers throughout CHA. Ability to take concise and comprehensive notes and to communicate clearly in written and oral communication. Excellent written, verbal, organizational and interpersonal skills.

Understanding of donor software (CRM such as Raiser’s Edge, Events Software)

Minimum 5 years’ experience as an administrative assistant is required.
