Irvine Company, a privately held real estate investment and master-planning firm, seeks a friendly receptionist/administrative assistant to be the first point of contact at the corporate office in Irvine. You will manage calls, packages, mail, and vendor coordination, while supporting the administrative team with various tasks.
You will greet visitors, maintain reception standards, and ensure timely follow-up.

Ensures a positive first impression as the primary point of contact for building associates, visitors, and other company representatives. Handles all incoming calls, packages and mail to the corporate office. Supports administrative team with various tasks.
Greets and assists all associates, vendors and visitors according to company standards; responds to questions/concerns and provide appropriate follow up.
Prepares the reception area for visitors daily as well as appropriately shut down at the end of the day.
Answers phone calls and directs as appropriate, taking messages and resolving incoming requests.
Manage all incoming packages and mail; assist in distribution when necessary.
Manage/Monitor corporate vendors such as but not limited to: Office Depot, Fruit Guys, Nestle, Corodata Shredding and Alta Snacks. Place orders, approve invoices in SAP and coordinate scheduling when needed.
Forward, create and manage corporate communications as well as calendar invites.
Update and distribute the Corporate and On-Site Rosters, Property Address List, Evacuation Roster and Reception Break Schedule.
Effecctively utilize and manage Google Suite including internal information platforms such as TicNet and email distribution lists.
Continuously update reception “How To” binder
Support administrative duties when requested such as but not limited to: data entry, ordering of supplies, and preparing customer paperwork.
