POSITION SUMMARY:

Perform a variety of experienced, substantive legal, research, administrative, and compliance duties requiring independent management of responsibilities and the application of knowledge and understanding of technical and legal terms and procedures within the legal department primarily in the areas of Corporate (including corporate entity management and annual filings), Insurance (including handling correspondences and facilitating information gathering needed for insurance applications and claims), and Compliance (managing the training platform and administering training programs), and providing administrative assistance to the attorneys as needed. This role requires strong judgment, attention to detail, and the ability to balance substantive legal work with hands‑on administrative responsibilities.

KEY RESPONSIBILITIES:
  • Corporate entity management including maintaining all corporate books for our entities; draft various resolutions in conjunction with or under the supervision of counsel; liaise with non-U.S. colleagues and outside counsel, as needed, for non-U.S. entities.
  • Maintain registrations and renewals related to SEC and EDGAR filings, as needed.
  • Coordinate insurance matters, including facilitation of information needed for various insurance policy applications and claims.
  • Manage the Company’s compliance training platform and administer various training programs; support compliance related projects.
  • Perform both routine and project specific legal research, as requested.
  • Prepare correspondence, agreements and legal forms.
  • Provide administrative support to the attorneys, as needed.
  • Support legal projects and initiatives that arise, as necessary.
REQUIREMENTS:
  • Education/Experience: College diploma or equivalent preferred, plus at least seven years of experience or combination of experience and specialized paralegal or legal secretarial education.
  • Demonstrated ability to work independently on substantive legal matters while maintaining a willingness to perform routine administrative and operational tasks as needed.
  • Completion of an ABA-approved paralegal program is strongly preferred.
  • Experience in a corporate legal department is preferred.
  • Experience with corporate entity maintenance, including maintenance of corporate books.
  • Ability to compose, type and assemble information in proper legal form.
  • Ability to conduct legal research based.
  • Set up and maintain a wide variety of legal files, records and reports.
  • Ability to exercise discretion and independent judgment on various matters of significance.
  • Follow complex oral and written instructions.
  • Prepare routine legal documents without the assistance of an attorney.
  • Communicate effectively, both orally and in writing.
  • Commute to our Montvale, NJ headquarters.
  • Hybrid work model (expected to be in the office three days a week).
  • Highest level of integrity, sound judgment and strong work ethic.
  • Ability to multi-task, take initiative and be adaptable.
  • Maintain regular office hours.
  • Establish and maintain effective working relationships with those contacted in the course of work.

  • Ability to efficiently accomplish the above duties and responsibilities.
  • Knowledge of basic legal concepts, principles, and procedures including calendaring and filing practices; legal and business terminology, spelling, grammar and punctuation; MS Office suite including PowerPoint and Excel; operation of basic office equipment including computer, telephone, and copier.

The salary range for this role is between $100,000 and $120,000 per year.
