Responsibilities

  • Course section maintenance in SAP and Ad Astra; enters/updates course sections; assigns classrooms; assists departments with event planning issues; conducts training sessions for new personnel.
  • Event Scheduling: approves classroom space for non-academic events; maintains rooms in SAP and Ad Astra; resolves scheduling conflicts.
  • Reporting: runs regular SAP/Ad Astra reports; creates utilization and conflict reports; uses Crystal Reports for detailed data; analyzes schedules to streamline processes; performs optimization runs.
  • Catalog Coordination: serves as undergraduate catalog coordinator; reviews content for accuracy; coordinates with departments; supports curricular processes; publishes catalog.
  • Final approver/editor for catalog changes; publishes catalog annually.

Position Title:

Coordinator, Scheduling/Catalog

Position Type:

About the Role:

To advance the focus on student success, this position will beresponsible for coordination of class scheduling, booking rooms forcourses, and university-wide events within SAP and Ad Astra (roomscheduling software). This position is responsible for the creationand maintenance of the University's undergraduate catalog that ispublished annually. Collaboration with academic and administrative departments acrossthe university is vital. This position will assist the AssistantRegistrar of Systems, as well as any additional duties assigned byOffice of the University Registrar administration.

  • Course section maintenance in SAP and Ad Astra: Enters andupdates Course Sections in SAP and Ad Astra submitted through EventPlanning Add/Change/Cancel forms daily. Assigns classroom space tosections. Assist academic departments with issues in enteringsection through the event planning applications. Dispersescommunication throughout campus community in regards to schedulebuilding and items that require action. Conducts training sessionsfor new personnel across the campus that will be working withinEvent Planning
  • Event Scheduling: Approves classroom space for non academicevents through Ad Astra. Maintains rooms and buildings containedwithin SAP and Astra. Resolves conflicts with events
  • Reporting: Runs timely reports from SAP and Ad Astra to ensurethat classrooms are assigned to sections and for conflict free roomassignments for events. Also provide reports to evaluate roomutilization, potential conflicts, and provide meaningful analytics.Utilizes Crystal Reports to provide detailed and customized reportsfor data within Ad Astra. Reviews reports and surveys cycles ofclass/event scheduling to continually streamline and simplifyprocesses. Perform optimization runs as required.
  • Catalog Coordination and Publication: Serves as the primarycatalog coordinator at the undergraduate level. Reviews content foraccuracy from university departments. Reviews content for accuracyand facilitates the collaboration with the pertinent universitydepartments and offices; monitors the curricular process; providessupport to users of the online catalog.
  • Serves as the final approver and editor for every proposedchange in the catalog’s database. Publishes the catalog as required(typically annually).
Position requires:
  • Bachelors degree and 2 years of related experience
  • Ability to easily navigate and utilize the Microsoft OfficeSuite.
  • Experience with SAP and relevant work within collegiate studiesis preferred, as well as experience with reporting tools.
  • Must have strong attention to detail.
  • Previous experience with training or public speaking ispreferred, while strong communication skills are required.
  • Good customer rapport skills needed.
