Job description

This role focuses on planning and executing engaging Undergraduate Admissions events that create a positive and memorable experience for prospective students, families, and school groups. You'll coordinate with campus partners, manage logistics, and use tools like Slate and Wrike to ensure every event runs smoothly and efficiently.

  • Plan, coordinate, and execute recruitment events for prospective students, families, and high school counselors. This includes both on and off campus events, serving over 8,000 guests each year.
  • Collaborate with campus partners and external vendors to ensure seamless event logistics on-site. This includes but is not limited to coordinating with Central Reservations, Dining Services, Facilities, and Public Safety, and the Business Service Center.
  • Manage the scheduling of group visits, Saturday programs, and regional receptions through internal Slate CRM.
  • Partner with University and departmental marketing teams to develop, review, and distribute communications and campaigns for event communications.
  • This role oversees the event budget in line with University priorities, included oversight of approximately 25 contracts with external vendors, estimated $100K in external contracts.

  • Schedule group visits for high school groups requesting campus visit, provide timely communication for incoming requests.
  • Act as primary liaison with university offices, vendors, exhibitors, and leadership during the event planning process and onsite at event; manage all event set up, tear down, and follow up processes and communications.
  • Initiate and maintain strong relationships with university partners; comfortable with short notice changes to events and able to shift priorities as issues arise.
  • Provide pre/post event communications to all necessary guests and university staff, including responding to email and answering phones calls about events.
Qualifications:
  • High School diploma or equivalent required
  • Bachelor's degree preferred in public relations, events management, or communications
  • 2-4 years of event coordination or related experience
  • 2-4 years of office and/or administrative support work
Knowledge, Skills, and Abilities:
  • Knowledge of event planning, reservations, event coordination
  • Knowledge of Microsoft Office products including Word, Excel, PowerPoint, and Outlook
  • Excellent verbal and written communication skills
  • Ability to initiate and maintain professional relationships
  • Ability to organize time, projects, and details
