Job summary

Hilton Grand Vacations is seeking a Quality Assurance Coordinator to manage contract documents and serve as the customer liaison for follow-up on incomplete paperwork and funds for new purchases.

The role requires at least 1 year of customer service experience, a high school diploma or GED, and a valid Notary license. Proficiency in Excel and flexible scheduling are essential to support sales and QA workflows.

Qualifications

  • Minimum 1 year of customer service experience.
  • High School Diploma or GED.
  • Valid Notary License or the ability to acquire a license.
  • Demonstrated proficiency in Microsoft Excel.

Responsibilities

  • Sort and prepare accurate order of contract documents for new and upgrading owners.
  • Act as a communication liaison between the Sale Support team and leadership during deal submissions.
  • Monitor and record customer cancellation letters and assist in processing those cancellations.
  • Oversee appointment scheduling workflows and QAS assignments for sale submissions.
  • Coordinate and oversee site date reporting, encompassing all pending contracts and financial data.
  • Review mail-out contracts for accuracy prior to mailing.
  • Oversee call handling and respond to incoming calls directed to the Quality Assurance team.
  • Stock items for the day, including lifting boxes up to 20 pounds.
  • Maintain inventory and supplies for the QA department.
  • Assist with various projects within the QA department.

As a Quality Assurance Coordinator, you are the primary liaison to our customers and the customer follow-up process of incomplete paperwork/monies for contracts and deeding of the client's new purchase.

As the Quality Assurance Coordinator, you will be responsible for:

  • Oversee appointment scheduling workflows and QAS assignments for sale submissions
  • Coordinate and oversee site date reporting, encompassing all pending contracts and financial dataAssist in reviewing all mail out contracts for accuracy prior to being mailed out
  • Oversee call handling and respond to incoming calls directed to the Quality Assurance team
  • Stock items for the day which can include lifting boxes up to 20 pounds.
  • Responsible for inventory and supplies for the quality assurance department
  • Assist with various projects and programs that may arise in the general operations of the quality assurance department
  • Assist with the resolution of audit issues
To fulfill this role successfully, you must possess the following minimum qualifications and experience:
  • Minimum 1 year of customer service experience.
  • High School Diploma or GED.
  • Valid Notary License or the ability to acquire a license.
  • Demonstrated expertise in Microsoft Excel
  • Ability to work a flexible schedule to include evenings, weekends, and holidays.
  • Ability to calculate figures and amounts ranging from commissions, proportions, and percentages.
It would be advantageous in this position for you to demonstrate the following capabilities and distinctions:
  • Previous Timeshare/Vacation Ownership experience.
  • 1 year or more of administrative/clerical work experience.
