Job description

**This role is for candidates who reside within 60 miles of our office in Southeast Minneapolis (hybrid).

About the Role

As the Coordinator, Inventory Control, you own the accuracy and integrity of inventory records across a network of contract manufacturers, distribution partners, and an owned/operated warehouse. The coordinator is the day-to-day connective tissue between the ERP system of record and partner warehouse management systems, ensuring that what the books say matches what the partners hold. The role drives cycle count programs at 3P sites, investigates and resolves discrepancies to root cause, maintains inventory control procedures, and provides the clean data that demand planning, finance, and customer service depend on.

What You’ll Do

Inventory Accuracy and Reconciliation

• Perform daily and weekly reconciliation of on-hand balances between the ERP and each 3PL/co-man WMS; identify, document, and resolve variances within defined SLAs.
• Research discrepancies to root cause rather than posting adjustments to force agreement.

Cycle Count and Physical Inventory Program

• Support the cycle count program executed by 3P partners, review partner count results, validate accuracy against expectations.
• Support annual or semi-annual wall-to-wall physical inventories at partner sites, including pre-count freeze planning, cutoff control, count documentation, variance review, and financial sign-off.
• Track and report inventory record accuracy (IRA) by location, category, and partner; trend results and elevate systemic degradation.

Partner-Held Inventory

• Maintain visibility and record accuracy for material held at contract manufacturers and co-packers — components, packaging, decoration, fragrance/raw material, and finished goods.
• Reconcile component balances, including material consumed in production, scrap and yield loss, and reported bills of material variance.
• Track in-transit inventory between nodes and ensure timely receipt posting; manage the aged in-transit report and resolve stalled transfers.

Data, Reporting, and System Integrity

• Provide clean, trusted on-hand data to demand and supply planning, finance, and customer service; serve as the escalation point when planning systems or reports appear misaligned with reality.
• Participate in system enhancements, integration testing, and partner onboarding/offboarding from an inventory control perspective.
• Identify recurring failure patterns and lead or contribute to corrective action projects, from simple process fixes to system or integration changes.

What You Bring

Qualifications:

• 2+ years in inventory control, inventory analysis, warehouse operations, or supply chain operations, ideally in consumer products.
• Direct experience working with third-party logistics providers and/or contract manufacturers, including reconciliation of partner-reported data.
• Strong ERP transactional literacy and understanding of how inventory transactions flow through a system of record (Syteline/CloudSuite, NetSuite, SAP, Microsoft Dynamics, or similar).
• Advanced Excel: pivot tables, lookups, large-file handling, and comfort building repeatable reconciliation workbooks.
• Demonstrated investigative discipline, able to trace a variance backward through transactions rather than accepting or forcing a number.
• Clear written communication; able to document a process, write a partner-facing instruction, and summarize an issue for a manager without burying the point.

Preferred:

• Experience in an asset-light model where the company owns inventory it does not physically control.
• Familiarity with EDI transaction sets used in 3PL integration and with WMS concepts (license plating, directed putaway, lot/serial control).
• Exposure to SQL, Power BI, Tableau, or similar for building inventory reporting independent of canned ERP reports.
• Working knowledge of physical inventory controls, cutoff procedures, and inventory-related audit expectations.
• Experience with kitting, promotional assembly, and seasonal or assortment-driven SKU turnover.
• APICS/ASCM certification (CPIM, CSCP) or active progress toward it.

Key Performance Indicators

• Inventory record accuracy by node and by category against target
• Value and volume of unexplained adjustments (trending down)
• In-transit aging and stalled transfer volume
• Audit findings related to inventory (zero material findings)

• This position is primarily office-based, with limited travel (less than 5%).
• Work Environment: General office or home office environment
• Physical Requirements:
• Occasionally required to lift and/or move items weighing 10 – 15 pounds.
