Responsibilities

• Service Coordination & Communication: Monitor and log service requests from emails and calls, dispatch technicians, and maintain professional communication with customers and facilities managers.
• Proposal & Work Order Support: Assist technicians in building and submitting service proposals; ensure scope, pricing, and notes are documented; follow up on approvals and update statuses.
• Parts Ordering & Inventory Support: Order parts for ongoing jobs, track shipments, verify inbound parts, coordinate with technicians, maintain stocked items.
• Administrative & Reporting Support: Track technician attendance, assist in scheduling on-call rotations, prepare operational reports, support data accuracy.
• Office & Operational Support: Order office supplies, support general workflow, assist leadership with process improvements.

About the Role:

Restaurant Service Solutions (RSS) is seeking a highly organized and proactive Service Operations Coordinator to support daily operations across dispatch, customer communication, parts procurement, and administrative reporting.

This role is critical to keeping service workflows moving efficiently between customers, technicians, and vendors. The ideal candidate is detail-oriented, responsive, and comfortable working in a fast-paced service environment

Responsibilities:

• 1. Service Coordination & Communication
  • Monitor and manage incoming service emails and requests (ServiceChannel, ResQ, Repairs86, etc.)
  • Answer incoming calls and log new service requests accurately
  • Dispatch and support technicians with job details, updates, and follow-ups
  • Maintain clear and professional communication with customers and facilities managers
• 2. Proposal & Work Order Support
  • Assist technicians in building and submitting service proposals
  • Ensure scope, pricing, and notes are properly documented in systems
  • Follow up on approvals and update job statuses accordingly
• 3. Parts Ordering & Inventory Support
  • Order parts required for ongoing service jobs (including specialty parts)
  • Track shipments and ensure timely delivery
  • Receive and verify incoming parts
  • Coordinate with technicians to ensure correct parts are ordered
  • Maintain organization of commonly stocked items
• 4. Administrative & Reporting Support
  • Track and maintain technician attendance records
  • Assist in scheduling and maintaining on-call rotations
  • Prepare and update operational reports as needed
  • Support internal documentation and data accuracy
• 5. Office & Operational Support
  • Order office supplies and maintain inventory
  • Support general office organization and workflow
  • Assist leadership with operational tasks and process improvements

Requirements:

• Experience in service-based industries (HVAC, plumbing, electrical, facilities, or similar) strongly preferred
• Familiarity with platforms like ServiceChannel, ResQ, or similar CMMS systems is a plus
• Strong organizational and multitasking skills
• High attention to detail and follow-through
• Clear communication skills (written and verbal)
• Ability to work under pressure and prioritize effectively
• Excellent customer service skills
