Schedule Details: Holidays - Every Other Holiday, Monday through Friday, Weekends - Every Other Weekend

Scheduled Hours: 7am - 3:30pm, 3pm - 11:30pm, 11pm - 7:30am

I. Major Responsibilities:
  1. Handle incoming phone calls from patients, families, and referring providers to schedule patient appointments. Scheduling includes multiple providers across various clinics/departments and campuses.
  2. Make outbound calls to patients to schedule appointments with specialists and subspecialists.
  3. Gather necessary information for medical care, including patient demographics, insurance details, and account guarantor. Process updates and corrections to insurance and demographic data. Collect patient liabilities prior to or on the day of service, as appropriate.
  4. Secure medical records from outside healthcare organizations as needed for appointments.
  5. Schedule in-office procedures, including booking the procedure and room.
  6. Apply knowledge of multiple treatment areas to prioritize procedures, tests, and services.
  7. Prioritize visits to optimize the use of physician staff, patient time, and equipment.
Standard Staffing Level Responsibilities:
  1. Follow departmental policies, procedures, and objectives.
  2. Attend meetings, conferences, and seminars as required.
  3. Utilize Quality Improvement practices in daily operations.
  4. Comply with health and safety regulations.
  5. Respect diverse views and promote a professional, tolerant, and respectful environment.
  6. Maintain reliable and predictable attendance.
  7. Perform other duties as required or directed.
II. Position Qualifications:

License/Certification/Education:

  • Required: High school diploma.
  • Preferred: Associate’s degree in business or healthcare-related field.

Experience/Skills:

  • Required: English speaking, reading, and writing skills; strong communication skills.
  • Preferred: Previous scheduling or customer service experience; healthcare experience; bilingual skills.

Equivalent combinations of education and experience may be considered in lieu of specific requirements.

III. Physical Demands and Environmental Conditions:

Work is sedentary and indoors in a typical office environment.
