Job summary

Kleinfelder is seeking a Contracts Specialist to support project delivery by managing contract documentation, coordinating with legal teams, and ensuring client compliance. This role emphasizes meticulous record-keeping and proactive communication with clients and subcontractors.

The position requires attention to detail, strong organizational skills, and the ability to collaborate across multiple internal teams in Southern California offices, including Riverside.

Qualifications

• Bachelor's degree or equivalent in a related field.
• 3-5 years in contract administration, document control, or subcontract management.
• Experience reviewing contracts and tracking compliance documentation.
• Familiarity with Certificates of Insurance and regulatory compliance.

Responsibilities

• Review, analyze, and administer client contracts, subcontracts, amendments, purchase orders, and related agreements.
• Coordinate contract reviews and approvals with legal, risk management, finance, and operations teams.
• Manage subcontractor onboarding, contract execution, and ongoing subcontract administration.
• Review COIs, licenses, and other compliance documentation.
• Maintain accurate contract files and records in contract management systems.
• Facilitate contract workflow and approvals across organizational interfaces.
• Monitor obligations, insurance requirements, and renewal deadlines for compliance.
• Support Project Managers with document control processes and project documentation.
• Prepare and transmit time-sensitive contract, proposal, and compliance documentation.
• Serve as a point of contact for clients and subcontractors on contract status and requirements.
• Assist with audits by providing supporting documentation and maintaining audit-ready records.
• Communicate risks and status updates to project teams and leadership.
