Job summary

Kleinfelder is seeking a Contracts Specialist for Southern California offices, including San Diego, Riverside, and Los Angeles. The role focuses on contract administration, subcontract management, compliance, and client support.

Key tasks include reviewing contracts, coordinating with legal and risk teams, onboarding subcontractors, and maintaining COIs and project documentation. You will ensure timely approvals and maintain audit-ready records across multiple offices.

Qualifications

  • 3-5 years of experience in contract administration, document control, or subcontract management.
  • Experience reviewing contracts, managing subcontractors, and tracking compliance documentation.
  • Familiarity with Certificates of Insurance, contract risk management, and regulatory requirements.
  • Strong organizational skills with exceptional attention to detail and accuracy.

Responsibilities

  • Review, analyze, and administer client contracts, subcontracts, amendments, POs and related agreements.
  • Coordinate contract reviews and approvals with legal, risk management, finance, and operations.
  • Manage subcontractor onboarding, contract execution, and ongoing administration.
  • Review COIs, licenses, and other compliance documentation required by clients.
  • Maintain contract files and records in contract management systems.
  • Facilitate contract workflow and approvals across multiple interfaces, including senior management.
  • Monitor obligations, insurance requirements, deliverables, and renewal deadlines for compliance.
  • Support project managers with document control and project documentation.
  • Prepare and transmit time-sensitive contract, proposal, and compliance documents.
  • Serve as a point of contact for clients, subcontractors, and internal stakeholders.
  • Assist with audits by providing supporting documentation and audit-ready records.
  • Communicate risks, compliance issues, and status updates to teams and leadership.

Do you have a passion for contract administration, subcontractor management, compliance, and client support? Our Kleinfelder Southern California Area is looking to add a Contracts Specialist to the area. This position can sit in any of our Southern California office (IE: San Diego, Riverside, Los Angeles, Cerritos, Laguna Hills, Ontario). Our Contracts Specialists play a critical role in supporting project delivery by managing contract documentation, coordinating with legal teams, ensuring compliance with client requirements, and maintaining effective communication with internal and external stakeholders. This position requires exceptional attention to detail, organizational skills, and the ability to build strong working relationships across all levels of the organization.

Key Responsibilities

  • Review, analyze, and administer client contracts, subcontracts, amendments, purchase orders, and related agreements.
  • Coordinate contract reviews and approvals with legal, risk management, finance, and operations teams.
  • Manage subcontractor onboarding, contract execution, and ongoing subcontract administration.
  • Review and track Certificates of Insurance (COIs), business licenses, and other compliance documentation required by clients and contracts.
  • Maintain accurate contract files, subcontract records, and documentation within contract management systems.
  • Facilitate contract workflow and approvals through multiple organizational interfaces, including legal and executive management.
  • Monitor contract obligations, insurance requirements, key deliverables, and renewal deadlines to ensure compliance.
  • Support Project Managers by implementing document control processes and maintaining project documentation.
  • Prepare and transmit time-sensitive contract, proposal, compliance, and project documentation.
  • Serve as a point of contact for clients, subcontractors, and internal stakeholders regarding contract status, compliance requirements, and documentation requests.
  • Assist with audits and contract reviews by providing supporting documentation and maintaining audit-ready records.
  • Communicate contract risks, compliance issues, and status updates to project teams, senior management, and executive leadership.

Qualifications

  • Bachelor's degree in Business Administration, Contract Management, Legal Studies, or a related field preferred.
  • 3-5 years of experience in contract administration, document control, subcontract management, or a related role.
  • Experience reviewing contracts, managing subcontractors, and tracking compliance documentation.
  • Familiarity with Certificates of Insurance, contract risk management, and regulatory compliance requirements.
  • Strong organizational skills with exceptional attention to detail and accuracy.

Final agreed upon compensation is based upon individual qualifications and experience. Hourly Range:$25.32 - $42.26.
