Job summary

Mount Sinai Medical Center is seeking a Contracts Administrator in our Miami, FL campus to support contract data management, pricing accuracy, and invoice issue resolution across the supply chain. The role partners with Supply Chain, Purchasing, and vendors to ensure contract integrity and timely operations.

The position emphasizes data accuracy, reporting, and adherence to confidentiality as part of a larger mission to deliver high-quality healthcare services to South Florida.

Qualifications

• High school graduate or equivalent level of training.
• Some college preferred.

Responsibilities

• Monitor contract compliance and investigate shortfalls, developing reports.
• Manage data entry and reporting in the Materials Management Information System (MMIS).
• Compile monthly trending reports for supply utilization and validate contractual changes.
• Collaborate with Supply Chain, Purchasing and vendors to resolve pricing discrepancies.
• Communicate with MSMC’s distributor and staff to reconcile invoicing issues.
• Support contract loading and database administration.
• Uphold quality service standards and protect patient and Medical Center information.

Department: Job Description Summary:

Supports contract administration and compliance by managing contract data, monitoring pricing accuracy, and resolving discrepancies within the materials management system. Partners with Supply Chain, Purchasing, and vendors to ensure contract integrity, accurate reporting, and timely resolution of invoice issues while maintaining data accuracy and supporting efficient contract operations.

Position Responsibilities

Reports to the Contracts Administrator Provides support to monitor contract compliance. Investigates problems related to compliance shortfalls, if needed, and develops reports Performs data management and entry using the Materials Management Information System’s Contract Manager module. Compiles monthly trending reports for supply utilization and validates contractual changes and new contracts are working consistent with supply chain policies. Works well under pressure and meets multiple and sometimes conflicting deadlines. Assesses data integrity including MMIS item master, contract module, and e-commerce use. Provides counsel and support to the Purchasing staff, Supply Chain management staff, and other areas as identified to manage contract pricing and discrepancies. Responsible for monitoring, reviewing, disputing, and reconciling all contract and pricing discrepancies through weekly meeting with MSMC’s primary distributor and monthly reconciliation reports. Works with Supply Chain staff, Purchasing staff and vendors to resolve outstanding invoice discrepancies in a timely manner Provides support to ensure efficient administration of contracts, including appropriate loading and filling related to the management of the contracting database. Demonstrates commitment to quality service and responsibility for addressing customer-service issues. Respects the dignity and confidentiality of patients and Medical Center information. Researches and collects data from hospital departments as needed in support of Supply Chain needs. Assists with information gathering of contents for Supply Chain Services communications and distribution. Adheres to the Operation Excellence Standards of Performance and upholds the standards of performance of the Medical Center.
