Kastle Systems is seeking a Contract & Billing Administrator in Falls Church, VA. This role touches Client Services, Sales, Accounting, and Legal, ensuring accurate billing and contract records while resolving complex discrepancies.

You will review CCRs, draft amendments, and manage high-volume queues, contracts, renewals, and portfolio transfers with cross-functional teams. This is an on-site, cross-functional, data-driven role with growth potential.

Qualifications

• Read and interpret customer contracts and invoices to identify mismatches.
• Experience with CRM systems and navigating multiple internal software platforms.
• Strong written communication; final check before Accounting and escalated requests.
• Manage a high volume of CCRs, budgets, and takeovers with follow-up.

Responsibilities

• Review, edit, and approve CCRs before submission to Accounting; maintain 50+ open CCRs.
• Draft CCRs to resolve rebills, fee corrections, and billing adjustments.
• Manage ongoing queues of management-change CCRs and documentation.
• Prepare budget requests and projections tied to new/renewing contracts.
• Draft and track service agreements and renewal contracts with Account Managers.
• Review and activate new customer accounts from system/portfolio transfers.
• Coordinate with Account Managers on pending signatures; maintain CRM docs.
• Takeovers: manage transactions for accounts changing ownership.
• Serve as liaison for billing/contract questions across functions.
• Conduct financial research to resolve disputes and inquiries.
• Provide clear resolution and next steps for contract/billing inquiries.
• Own monthly attrition/loss reports and data tagging.
• Run code-name assignments and quarterly deliverables for strategic accounts.
