Job summary

Kastle Systems is seeking a Contract & Billing Administrator in the Mid-Atlantic region to ensure accuracy of client billing and contracts. You will review CCRs, draft corrections, and manage a busy queue while coordinating with Account Managers, Legal, and Finance.

This is an analysis-driven role focused on resolving discrepancies and maintaining records in CRM and ERP systems. The position supports cross-functional teams, handling budgeting, renewals, and ownership changes.

Qualifications

• HS Diploma or equivalent required.
• 2+ years in customer support, contract administration, billing, or related field preferred.
• Ability to read contracts and invoices to identify mismatches with financial judgment.
• Experience navigating CRM and multiple internal platforms for research.
• Strong written communication; serves as last check before accounting.
• Capable of managing a high volume of concurrent items with proactive follow-up.
• Attention to detail to ensure accuracy before processing to accounting.

Responsibilities

• Review, edit, and approve CCRs before submission to Accounting; manage 50+ open CCRs.
• Draft CCRs to resolve rebills, fee corrections, and billing adjustments.
• Maintain an on-hold queue of management-change CCRs until resolution.
• Prepare budget requests and projections for new/renewing contracts.
• Draft, review, and track service agreements and renewal contracts.
• Review and activate new customer accounts from transfers.
• Follow up with Account Managers on pending signatures; maintain documentation in CRM.
• Manage takeover transactions with a double-digit caseload.
• Serve as primary billing/contract escalation contact for multiple departments.
• Conduct financial research across systems to resolve disputes and inquiries.
• Provide clear resolution steps and next actions.
