Job summary

Jenco Inc in Scottsdale, AZ is seeking a detail-oriented Contract Administrator to support contract administration and Accounts Receivable for our construction business unit. You will coordinate contract approvals, process contracts and purchase orders, prepare invoices with accurate job costing, and assist with collections in a fast-paced environment.

You will work closely with Project Managers and the finance team, maintain logs, and ensure timely execution of agreements.

Qualifications

  • Experience in construction industry preferred.
  • Strong data entry and document management skills.
  • Experience with invoicing and billing processes.

Responsibilities

  • Support Project Managers with project documentation and updates.
  • Coordinate contract approvals and signatures, tracking deadlines to ensure timely execution.
  • Assist with contract compliance throughout the project lifecycle.
  • Process contracts and purchase orders, including pre-liens and certificates of insurance; maintain job logs.
  • Prepare and process invoices with accurate job costing and change orders; verify labor hours.
  • Follow up with customers on payment status and collect lien waivers and closeout documents.
  • Verify and reconcile vendor invoices; resolve discrepancies; work with PMs to resolve PO/receipt/invoice mismatches.

About the Role

Jenco is looking for a detail-driven Contract Administrator to support contract administration and Accounts Receivable for our Business Unit. You'll work closely with Project Managers and the finance team to keep projects moving smoothly and financials tracking accurately 6a9 — coordinating contract approvals, processing contracts and purchase orders, and managing billing and collections in a fast-paced construction environment.

What You'll Do
Contract Administration
  • Support Project Managers with project documentation and updates
  • Coordinate contract approvals and signatures, tracking deadlines to ensure timely execution
  • Assist with contract compliance throughout the project lifecycle
Contract & Purchase Order Processing
  • Communicate with clients, subcontractors, and internal stakeholders on contract terms
  • Process contracts and purchase orders, including pre-liens and certificates of insurance
  • Maintain job logs and track change orders in internal accounting/CRM systems
  • Prepare and process invoices with accurate job costing, change orders, and labor hour verification
  • Maintain accurate billing records
Collections
  • Follow up with customers on payment status and schedules
  • Collect lien waivers, closeout documents, and other required payment documentation
Accounts Payable Support
  • Verify and reconcile vendor invoices, resolving discrepancies
  • Collaborate with PMs and purchasing to resolve PO/receipt/invoice mismatches

What You'll Bring
  • Previous experience in a similar role, in construction industry
  • Strong attention to detail in data entry and document management
  • Excellent communication skills 1— comfortable working with PMs, coworkers, and customers
  • Strong organizational and time management skills; able to prioritize in a fast-paced environment
  • Proficiency in Microsoft Office (Word, Excel, Outlook); contract management software experience a plus
  • 10-key proficiency for accurate, efficient data entry and calculations
  • Ability to work independently and as part of a collaborative team
Work Environment

Primarily office-based role with regular computer use.
