The role handles day-to-day bookkeeping, QuickBooks Online, payroll via ADP, and coordination with the CPA for year-end filings. The ideal candidate has at least 1 year of bookkeeping and financial accounting experience, strong accuracy, and the ability to manage multiple priorities in a nonprofit

Responsibilities

  • Manage day-to-day bookkeeping activities and maintain accurate financial records in QuickBooks Online.
  • Complete monthly bank reconciliations and general journal entries for accrual-based reporting.
  • Process accounts payable and receivable with proper coding and supporting documentation.
  • Process biweekly payroll through ADP.
  • Maintain donor database (Donor Perfect) and run reports as needed.
  • Generate monthly financial statements for Board meetings (Balance Sheet & Income Statement).
  • Assist with annual fiscal year audit and Form 990 preparation.
  • Collaborate with the Executive Director and Treasurer on budget development and monitoring.

About the Job

A Haven is a 501(c)(3) nonprofit organization providing grief support services to children and families in Chester County and the surrounding area. We are seeking a detail-oriented, organized, and dependable Bookkeeper to support the financial operations of our organization.

This is a hands-on bookkeeping role for someone who is comfortable managing financial transactions, maintaining accurate records, working in QuickBooks Online, and producing timely financial information. The ideal candidate will be able to support A Haven’s financial health and long-term sustainability.

Because A Haven’s work directly supports children and families navigating grief after the death of someone they love, we are looking for someone who brings professionalism, care, integrity, and an appreciation for our mission to their work.

Key Responsibilities
  • Manage day-to-day bookkeeping activities and maintain accurate financial records in QuickBooks Online.
  • Complete monthly bank reconciliations and general journal entries to maintain accurate accrual-based financial reporting
  • Process accounts payable and receivables, ensuring transactions are properly coded and allocated and that supporting documentation is attached in QuickBooks Online.
  • Process and record biweekly payroll through outside vendor ADP.
  • Help maintain data in donor database (Donor Perfect) and run reports as needed.
  • Generate monthly financial statements, including Balance Sheet and Income Statement reports for Board meetings.
  • Maintain billing schedules and track recurring subscriptions and vendor-related expenses.
  • Maintain accurate vendor records, including W-9 documentation and vendor account information.
  • Manage and process employee travel reimbursement payments.
  • Prepare and distribute Form 1099s to applicable vendors.
  • Assist with annual fiscal year audit requirements and provide requested financial documentation.
  • Provide necessary financial information and support to the organization’s CPA for preparation of the annual Form 990.
  • Collaborate with the Executive Director and Treasurer in developing the annual organizational budget.
  • Monitor the budget throughout the year and assist with quarterly review and reporting.
  • Develop effective work plans, organize competing priorities, and meet deadlines.
  • Provide additional administrative and event support as needed.
Required Qualifications
  • At least 1 year of bookkeeping experience.
  • At least 1 year of financial accounting experience.
  • At least 1 year of hands-on experience with QuickBooks Online.
  • Strong attention to detail and commitment to accuracy.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced nonprofit environment.
  • Ability to work independently while also collaborating effectively with the Executive Director, Treasurer, CPA, and other team members.
  • Strong organizational and problem-solving skills.
  • Comfortable working with technology and in a remote or hybrid environment.
  • Ability to handle confidential financial information with discretion and professionalism.
  • Strong written and verbal communication skills.
  • Genuine affinity for A Haven’s mission and the families we serve.
Preferred Qualifications
  • Previous experience working in a nonprofit organization.
  • Experience with nonprofit accounting and financial reporting.
  • Familiarity with accrual accounting and nonprofit financial statements.
  • Experience supporting an annual audit and/or Form 990 preparation.
  • Experience with budgeting and ongoing budget monitoring.
  • Experience working directly with a nonprofit Board Treasurer or Finance Committee.
