Job summary

Citadel Access Solutions in Anaheim, CA is seeking a detail-oriented Purchasing Agent to source, purchase, and coordinate materials for commercial service and construction projects. You will work closely with project managers, estimators, and field teams to ensure timely delivery of required items.

Responsibilities include managing purchase orders, supplier negotiations, inventory coordination, and use of ServiceTitan or similar platforms.

Qualifications

• 2+ years of experience in purchasing, procurement, inventory management, or a related role.
• Experience working in commercial services, construction, facilities maintenance, or specialty contracting preferred.
• Strong understanding of purchasing processes, vendor negotiations, and material coordination.
• Experience creating and managing purchase orders and tracking vendor deliveries.
• Ability to read and interpret material lists, work orders, and product specifications.
• Proficiency in Microsoft Office, particularly Excel and Outlook.
• Strong organizational skills and attention to detail.
• Excellent communication, negotiation, and problem-solving abilities.
• Ability to manage multiple priorities in a fast-paced environment.
• Experience working collaboratively with operations, field service, and accounting teams.
• Experience using ServiceTitan, or comparable field service management software.
• Purchasing experience within the commercial doors, automatic gate, overhead door, access control, or security systems industries.
• Familiarity with electrical components, low-voltage equipment, door hardware, gate operators, and construction materials.
• Experience with ERP systems, purchasing software.
• Knowledge of construction project timelines and material lead-time requirements.
• Experience working directly with field technicians, dispatchers, and project managers.
• Familiarity with vendor pricing agreements, purchase order reconciliation, and cost control.
• Procurement & Purchasing: ability to source materials efficiently while maintaining cost and quality standards.

Responsibilities

• Manage the purchasing process for materials, parts, equipment, tools, and supplies for commercial service and installation projects.
• Review purchase requests, work orders, and project specifications to determine material requirements.
• Source and purchase commercial doors, gates, access control equipment, hardware, motors, operators, electrical components, and related materials.
• Obtain vendor quotes, compare pricing, and negotiate favorable costs, terms, and delivery schedules.
• Generate, process, and track purchase orders to ensure accuracy and timely fulfillment.
• Coordinate special orders and long-lead-time materials to prevent delays.
• Verify that all necessary materials are ordered and available before scheduled installations or service appointments.
• Identify opportunities for cost savings and purchasing process improvements.
• Establish and maintain strong relationships with manufacturers, distributors, and suppliers.
• Monitor vendor performance related to pricing, quality, availability, and delivery timelines.
• Resolve issues involving incorrect shipments, damaged materials, shortages, and backorders.
• Research and identify alternative suppliers when necessary.
• Maintain updated vendor information, pricing agreements, and product catalogs.
• Work with warehouse and operations teams to monitor inventory levels and replenish stock as needed.
• Track incoming shipments and coordinate deliveries to warehouse, jobsites, or service technicians.
• Document material receipts, returns, and inventory transfers.
