Job summary

Bilbro Construction Company seeks a highly organized Construction Project Coordinator to support our project management team from start to finish on a variety of construction projects in Escondido, CA. You will manage day-to-day coordination, documentation, and communications to keep projects on schedule and within budget.

The role requires strong organizational skills, multi-project oversight, and proficiency with MS Office and construction management software.

Qualifications

• 5+ years of experience in construction, project coordination, or related field.
• Strong organizational and time-management skills.
• Proficiency with Microsoft Office (Word, Excel, Outlook).
• Experience with construction management software is a plus.

Responsibilities

• Assist Project Managers with day-to-day coordination and administration of construction projects.
• Track project schedules, deadlines, deliverables, and outstanding items.
• Coordinate communication between project managers, field staff, subcontractors, vendors, and clients.
• Prepare, organize, and maintain project documentation including contracts, plans, reports, RFIs, submittals, change orders, and other records.
• Assist with subcontractor and vendor coordination and follow-up on outstanding items.
• Track purchase orders, invoices, deliveries, and project-related expenses.
• Help prepare project reports, meeting agendas, minutes, and progress updates.
• Maintain accurate project files and ensure documentation is up-to-date.
• Assist with scheduling inspections, site visits, meetings, and other project activities.
• Monitor project action items and follow up with responsible parties to keep work moving forward.
• Support the preparation and processing of change orders, pay applications, and other paperwork.
• Communicate project updates and potential issues to the appropriate team members.
• Provide general administrative and operational support to the Project Management team.
• Perform other duties as assigned.
