  • Exceptional communication and client relationship-building abilities.
  • Familiarity with Florida building codes and permitting processes.

Responsibilities

  • Budget & Cost Control: Collaborate with ownership and estimating to track budgets and control expenses; monitor material costs; communicate budget impacts; assist in sourcing pricing from vendors and subcontractors.
  • Client Selections & Coordination: Liaise between clients and vendors; assist in selecting finishes; manage selection schedules; document selections and changes.
  • Vendor & Supplier Coordination: Source finishes from luxury and trade vendors; track orders and deliveries; resolve delivery/quality issues with vendors and subs.
  • Administrative & Project Support: Maintain budgets, selection logs, and schedules; assist with contracts, PO, and invoice review; support permits and compliance; facilitate communication; conduct regular site visits.
  • Client Communication & Experience: Serve as main contact for budgets and updates; provide status updates and ensure high-quality client experience.

Title: Construction Project Coordinator (Ocala, FL)

  • As a Construction Project Coordinator, you will work directly with the Principal to oversee the setup, coordination, and day-to-day tracking of custom residential projects. From managing vendors and finish schedules to organizing budgets and client selections, you’ll ensure every detail is executed to the highest standard, supporting the delivery of one-of-a-kind equestrian estates and luxury homes.
DO YOU HAVE WHAT IT TAKES

YOU WOULD BE RESPONSIBLE FOR
1\. Budget & Cost Control Support
  • Collaborate with ownership and estimating to track project budgets and control expenses.
  • Monitor material costs and identify opportunities for cost savings.
  • Communicate budget impacts to estimators and ownership to maintain financial accuracy.
  • Assist in sourcing competitive pricing from vendors and subcontractors.
2\. Client Selections & Coordination
  • Act as a liaison between clients and vendors throughout the design and selection process.
  • Assist clients with selecting finishes including flooring, cabinetry, fixtures, appliances, and more.
  • Manage selection schedules to ensure timely decisions and prevent delays.
  • Recommend materials and finishes that align with design preferences and budget.
  • Document and track all client selections, approvals and requested changes.
3\. Vendor & Supplier Coordination
  • Source finishes and materials from a wide variety of luxury and trade-only suppliers: Preferred Vendor Network, Client-preferred manufacturers, Custom fabricators and artisans, Local and national showrooms.
  • Track orders, manage lead times, and coordinate deliveries to ensure smooth installations.
  • Work closely with vendors and subcontractors to resolve any delivery, order, or quality issues.
4\. Administrative & Project Support
  • Maintain organized documentation including budgets, selection logs, and project schedules.
  • Assist with contracts, purchase orders, and invoice review.
  • Support permit applications and compliance documentation as needed.
  • Facilitate communication with subcontractors and suppliers to support project flow.
  • Regular site visits as needed to support the field, office and clients effectively
5\. Client Communication & Experience
  • Serve as the point of contact for clients regarding budgets, selections, and project updates.
  • Provide regular updates on order statuses, delivery timelines, and overall project progress.
  • Ensure a high-quality, professional experience for every client from start to finish.
