Job summary

Clark Nexsen, a JMT Company, is seeking a Construction Administration Coordinator in the Facilities group to support project managers by ensuring project documentation is processed, tracked, and communicated throughout the bidding and construction phases.

This full-time role in the Virginia Beach area offers an hourly pay of $24.00–$29.00, commensurate with experience, with responsibilities including managing submittals, RFIs, QA/QC, and coordinating with teams using Procore, Auto Cloud

Qualifications

• High school diploma or GED is required.
• Familiarity with the construction industry.
• 4 years of administrative experience in an architectural, engineering, or construction firm.

Responsibilities

• Support Project Managers with document workflows during the Construction Administration phase of design projects.
• Coordinate submittal and RFI workflows across multiple platforms, ensuring accurate logging, routing, and tracking within the firm’s project management system
• Monitor review timelines and follow up with project team members to ensure timely completion and response to project documentation
• Manage multiple projects concurrently, balancing priorities to support timely document coordination and delivery
• Track and support the review of change order proposals and prepare change orders
• Maintain accurate and up-to-date project documentation within firm systems
• Prepare project reports to support monitoring of construction phase progress
• Support construction meetings, including coordination and documentation as needed.
• Communicate with project teams, clients, and contractors to facilitate timely document flow and responses
• Provide general administrative and project support for Project Managers and project teams
• Perform QA/QC checks to ensure project documentation is accurate, complete, and consistent with project requirements
