Job description

Become a Key Player as a Construction Project Coordinator

As a Construction Project Coordinator, you will support timely billing and documentation to keep projects financially accurate and progressing. You will coordinate with project managers, project operations, accounting, and clients to ensure invoices, contracts, and close-out tasks are completed on schedule. Work model: Onsite in Eagan (preferred) or Sauk Rapids, MN.

Here’s How You’ll Make an Impact on the Team

  • Create and maintain projects in the Project Management system and notify teams when subcontractors, OCIP, or prevailing wage apply.
  • Enter and track contract change orders for active projects.
  • Maintain comprehensive and accessible project files, including contracts and required documentation.
  • Prepare and review invoices for accuracy, completeness, and contract compliance; provide invoices and lien waivers to accounting as needed.
  • Submit invoices to clients through portals (Textura, e-Builder, GCPAY, Procore, etc.) and follow up on AR aging to resolve discrepancies and held retention.
  • Coordinate with accounts receivable and clients on billing inquiries and documentation to ensure prompt payment.
  • Use Work in Progress (WIP) reports to identify underbillings, missing cost projections, unapproved change orders, and GM% issues and work with PMs to resolve them.
  • Attend or arrange project status meetings and generate project reports.
  • Assist with project closeout, update Vista with required information, and transition projects to the service department.
  • Provide general support to the accounting team and assist with acquisition integration as needed.

Here’s What You’ll Need to Be Successful in This Role

  • 2–3 years of billing and coordination experience, preferably in construction.
  • Bachelor’s degree (Finance or Accounting preferred) or equivalent combination of education and experience.
  • Experience with Vista (Viewpoint) billing software preferred and strong Microsoft Excel skills.
  • Strong verbal and written communication skills and the ability to interact professionally with clients and team members.
  • Strong organizational skills, attention to detail, and responsibility for accurate recordkeeping.
  • Analytical and problem-solving skills and the ability to work collaboratively with project managers and accounting.
  • Ability to pass background check and drug/alcohol screening as required for jobsite badging.

  • Familiarity with construction billing processes, contracts, and industry terminology.
  • Experience with other construction management software.
  • Willingness to travel up to 20%.

Pay Range

$21.00-$31.00/hour
