Job summary

Hillard Electric, Inc. in Cedar Springs, MI is seeking a detail-oriented Billing & Payroll Administrator to support our Accounting & Administration Team. The role covers customer invoicing, payroll processing, and general accounting duties in a fast-paced construction environment.

The successful candidate will be organized, reliable, and capable of handling confidential information while meeting deadlines and delivering accurate billing and payroll outcomes.

Qualifications

• Minimum of two years of experience in billing, accounting, payroll, or office administration.
• Experience with Certified Payroll.
• Experience in electrical, construction, mechanical, HVAC, plumbing, or contractor industries preferred.
• Experience with customer billing, project billing, job costing, or construction accounting.
• Experience with accounting or ERP software; familiarity with UKG & Viewpoint Spectrum preferred.

Responsibilities

• Prepare and submit customer invoices accurately and on schedule.
• Process time & material, service, and project billings.
• Coordinate billing documentation, including lien waivers and required supporting docs.
• Assist with AIA progress billing and related project documentation.
• Monitor customer receivable aging and assist with routine collections.
• Work with Project Managers to align billing with contracts and progress.
• Maintain accurate customer billing records and electronic documentation.
• Process weekly payroll for field and office employees.
• Review timecards and payroll information for accuracy.
• Maintain payroll records and confidentiality.
• Assist in month-end accounting activities and reporting; provide cross-functional support.
