We are working with a well-established, Orlando-based charitable organization that manages a substantial commercial real estate portfolio to find a Construction Administrator to keep their construction and property management teams organized and moving. This is a great fit for someone who thrives on structure — juggling contracts, invoices, permits, and schedules while keeping the Senior Construction Manager and project teams a step ahead.
What You\'ll Do
- Review, code, and route maintenance, construction, and property management invoices, confirming lien releases are received before payment
- Provide first review of AIA payment applications, checking that cost coding lines up
- Keep vendor agreements, liability insurance, W-9s, and workers' comp documentation current
- Prepare and manage contracts, change orders, and AIA documents with vendors, subcontractors, and consultants
- Support RFP coordination — bid specs, instructions to bidders, and evaluating contractor and vendor responses
- Assist with estimating projects and building budgets, and monitor costs against them
- Track contracts and purchase orders for construction-related projects and services
- Support Property Managers on annual capital expense planning and tracking
- Assist the Senior Construction Manager with tenant improvement oversight, coordinating with Leasing and Property Management
- Coordinate project resources, equipment, and information across the development team, office, and site staff
- Participate in and document project meetings and calls
- Maintain permit applications, NTOs, NOCs, and other project documentation
- Maintain property files — fire, roof, HVAC, vehicle, and vacancy reports
- Process vendor credit applications and issue purchase orders and contracts
What You\'ll Bring
- Proven experience as a Project Administrator or Assistant Project Administrator in construction
- College or technical degree, or certification, in business administration, construction, real estate, or a related field
- Valid Florida driver's license with a clean driving record
- Experience with Bluebeam, AutoCAD, or project management software (like Microsoft Project) a plus
- Strong Microsoft Office skills — Outlook, Excel, PowerPoint, and Word
- Excellent organizational and multitasking skills, with sharp attention to detail
- Strong verbal and written communication skills across all levels of the organization
- Comfortable working independently and collaboratively in a fast-moving environment
- Property management or construction management software experience a plus
