Job summary

Romanoff Group of Companies, headquartered in Columbus, Ohio, is seeking a Construction Administrator to join our award‑winning team in the Charlotte market. The role handles processing permits and invoicing, project filing, prevailing wage oversight, scheduling, and maintaining manpower boards.

  • Contacts customers about late invoices and assists with resolving issues.
  • Regularly completes billings inside builder portals and updates tracking systems.
  • Creates and maintains construction job files and performs daily data entry.
  • Reviews contracts to understand project scope and billing procedures.
  • Communicates with General Contractors and coordinates change orders.

Standard Work Schedule:
  • Monday - Friday 7:00am - 4:00pm. MUST be willing to be flexible as jobs may change.
Position Summary:

A Construction Administrator is responsible for processing permits and billing, project document filing, overseeing prevailing wage information, arranging project schedules, and keeping manpower board current.

Position Responsibilities:
  • Processes and submits invoices using standard AIA billing procedures.
  • Contacts customers about late invoices, researches issues on late payments and works with project managers on any outstanding issues.
  • Routinely completes billings inside the builder’s web portals.
  • Creates and maintains construction job files.
  • Performs daily data entry.
  • Completes billing checklists and updates all appropriate internal tracking systems.
  • Reviews contracts to maintain knowledge of project scope and required billing procedures.
  • Regularly communicates with General Contractors.
  • Processes change orders accurately and in a timely manner.
  • Actively participates in project kickoff meetings.
  • Supports the office with day-to-day business needs.
  • Additional duties as assigned.
Qualifications:
  • Required: High School Diploma or GED.
  • Proficient computer skills in Microsoft Office (Outlook, Excel, etc.).
  • Excellent Data Entry Skills.
Physical Demands:
  • Must be able to sit at a desk and/or computer for prolonged periods of time.
  • Must be able to occasionally lift and/or move up to 25 lbs.
