Job summary

Cosco Fire Protection is expanding its service operations and seeks a Business Operations Coordinator to manage office procedures, assist with dispatching technicians, and handle job invoicing using accounting software. The role supports HR activities and requires strong organizational skills.

Based in North Carolina, the position offers full-time hours (7:00 AM–4:00 PM) and extensive use of Excel and office software to improve productivity.

Qualifications

• Experience in an administrative or office manager role in the construction industry.
• Excellent oral and written communication skills.
• Proficient in Excel with worksheets and simple formulas to manipulate data.
• Experience using accounting software.
• Self-motivated and able to work independently and in a team.
• Must complete background check and drug screening.
• Must work 40 hours per week (7:00 AM to 4:00 PM).

Responsibilities

• Analyzes and organizes office operations and procedures.
• Maximizes office productivity with Microsoft Office and Excel.
• Manages work order paper flow from National Accounts and assists with dispatching technicians.
• Establishes uniform correspondence procedures and styles per Cosco bidding procedures.
• Uses accounting software to open new jobs, set up change orders, bill/invoice clients, and close jobs.
• Formulates procedures for records retention and disposal.
• Plans office layout, develops budget, and initiates cost reduction programs.
• Reviews clerical and personnel records for accuracy and timeliness; supports HR activities.
• Prepares activity reports for management on service and contract billings, bids, invoices, etc.
• Maintains contact with customers and vendors and responds to inquiries.
