Accurate Firestop, Inc. seeks an experienced Construction Accounting & Payroll Specialist to join our accounting team in Pleasanton, CA.

This full-time role supports day-to-day payroll and accounting for a construction company and collaborates closely with the Controller. The ideal candidate has 5+ years in payroll and accounting, with strong union payroll, certified payroll, and prevailing wage knowledge; proficiency in FOUNDATION software and Excel is essential.

Qualifications

• 5+ years of accounting and/or payroll experience, preferably in construction.
• Strong experience with union payroll.
• Experience with certified payroll and prevailing wage requirements is highly preferred.
• Hands-on Accounts Payable and Accounts Receivable experience.
• Familiarity with construction job costing, job numbers, and cost codes.
• Experience with FOUNDATION construction accounting software preferred.
• Proficiency in Microsoft Excel, Outlook, and general office applications.
• Strong attention to detail, organization, and ability to manage multiple deadlines.
• Ability to independently research and resolve discrepancies.
• Strong written and verbal communication skills.
• Ability to maintain confidentiality of payroll, employee, and financial information.

Responsibilities

• Process weekly union payroll and review timecards, pay rates, classifications, job assignments, and union requirements.
• Prepare and submit certified payroll for prevailing wage and public works projects.
• Assist with union reporting, fringe benefit reporting, and payroll compliance documentation.
• Maintain payroll records and resolve payroll discrepancies.
• Prepare customer invoices and construction-related billings.
• Maintain accounts receivable, apply customer payments, monitor outstanding balances, and assist with collections.
• Review and process vendor invoices, including job numbers, cost codes, approvals, and supporting documentation.
• Maintain accounts payable records and assist with vendor payments and reconciliations.
• Enter and maintain accurate accounting information within FOUNDATION.
• Assist the Controller with reconciliations, audits, insurance requests, payroll reviews, reporting, and other accounting needs.
• Coordinate with project managers, field personnel, vendors, and customers regarding accounting matters.

We’re looking for someone who is organized, detail-oriented, comfortable working in a fast-paced environment, and experienced with the unique payroll and accounting requirements of the construction industry.
